Job Summary

SEAS & PitE Student Center is seeking an experienced Temporary Events Planner to play a key role in the organization and execution of events within the Student Center and partnering departments. You will report to the Events and Alumni Engagement Coordinator and will be responsible for managing event logistics, coordinating with vendors and staff, and overseeing the successful outcome events supporting the various activities of the Student Center.

This position will have a hybrid schedule with required presence in the SEAS Student Center on Wednesdays, as well as required presence for various events.

Flexible work arrangements are subject to approval by the Events and Alumni Engagement Coordinator and may change when the Winter 2025 semester begins.

Responsibilities*

  • Manage all aspects of event logistics, including but not limited to, reservations for rooms/venues, catering, RSVP tracking, staffing, transportation, audio/visual services, and entertainment
  • Collaborate with IT staff for audio-visual and technology needs during events
  • Execute on-site event setup and teardown, addressing any last-minute changes and resolving issues as they arise
  • Create and prepare event materials such as nametags, signage, table tents, welcome packets, etc.
  • Deploy project management skills to bring creative student programming and events from concept to execution
  • Maintain and update the school's events calendar
  • Update written event procedures as necessary
  • Track events budget, report any discrepancies to leadership, and provide budget projections when planning events
  • Maintain relationships with vendors throughout the planning process
  • Stay informed about event industry standards, university event policies, and procedures

Required Qualifications*

  • Experience in event planning and management
  • Demonstrated organizational and project management skills
  • Experience communicating with diverse audiences
  • Some flexibility to adapt to evolving event requirements and schedules
  • Familiarity with university policies and procedures related to event planning is desired
  • Some experience with event budget management or oversight
  • Experience working independently and as part of a team
