Job Summary

The Controlled Substances Data Analyst is a valuable member of the Diversion Prevention Team within the Department of Pharmacy Services that is responsible for the day-to-day monitoring of controlled substances use and handling within Michigan Medicine. The Diversion Prevention Team works to prevent, detect, and respond to drug diversion.

The primary responsibility of the position includes data analysis and review of a variety of data sources to identify possible drug diversion and ensure controlled substance reconciliation and discrepancy resolution. Extensive data from medical records, automated dispensing cabinets, patient safety reports and other sources must be analyzed, tracked, trended, and interpreted in the context of a highly complex and varied clinical environment.

The position will work closely with colleagues in Pharmacy, Nursing, Anesthesia and Compliance in conducting analysis and managing incident response related to potential mishandling or diversion of controlled substances. Significant collaboration and coordination with both leadership and operational personnel will be required across the hospitals and health centers.

Responsibilities*

  • Perform regular review of multiple data sources to detect anomalous activity relating to controlled substance practice behaviors.
  • Perform trend analyses and database assessments in order to identify drug diversion.
  • Maintain robust and readily retrievable documentation of routine monitoring activity and investigations.
  • Liaise closely with leadership across the institution (especially in Nursing, Pharmacy, Ambulatory Care and Anesthesia) to investigate anomalous activity and to evaluate whether it is explainable in the clinical context.
  • Review and help resolve discrepancies in controlled substances inventory, in collaboration with Nursing, Anesthesia and Pharmacy personnel.
  • Liaise with Security and Police as required in relation to investigations into possible theft of controlled substances, and assist in identifying reporting requirements to regulatory agencies, including the Drug Enforcement Administration (DEA), as required.
  • Assist with implementation, compliance monitoring and enforcement of internal policies and procedures related to controlled substances and medication management.
  • Assist as required with identification of root causes behind drug mishandling or diversion and the development of corrective and preventive actions, process improvements and education to address them.
  • Assist, as needed, in the design and conducting of audits of the entire medication use process (purchasing, receipt, distribution, administration and wasting) related to controlled substances.
  • Actively participate in a multidisciplinary approach to proactively detect drug diversion and to continuously monitor and improve the medication use process. This includes evaluation and use of new technology utilized in proactive prevention and detection of controlled substances diversion.

Required Qualifications*

  • Senior Level: Minimum of a Bachelor's degree in nursing, pharmacy, informatics, public health, computer science, statistics, or similar field. At least 5-8 years of experience in analyzing and interpreting process, clinical outcomes and costs of care.
  • Intermediate Level: Minimum of a Bachelor's degree in nursing, pharmacy, informatics, public health, computer science, statistics, or similar field. At least 3 years of experience in analyzing and interpreting process, clinical outcomes and costs of care.
  • Associate Level: B.S. degree or relevant experience.
  • Excellent critical thinking and problem-solving skills.
  • Excellent organizational, written, and verbal skills, with a high degree of sensitivity and tact in dealing with difficult or stressful situations.
  • Proven ability to work independently and to meet deadlines, including time-sensitive tasks.
  • Proven ability to excel in a team environment.
  • Ability to present data clearly for a variety of audiences.
  • Outstanding attention to detail.
  • Ability to work effectively with individuals at all levels and with varying backgrounds within the organization.
  • Demonstrated ability to work as part of an interdisciplinary team.

Desired Qualifications*

  • Experience working in a health care setting.
  • First-hand experience in clinical practice handling controlled substances (nursing, anesthesia, or pharmacy).
  • Knowledge of controlled substances compliance and diversion prevention.
  • Direct experience standardizing, manipulating, analyzing, and visualizing complex, large volume, multi-dimensional data from diverse sources.
