The LSA Opportunity Hub at the University of Michigan is looking for an Alum Engagement Coordinator who will play an important role in achieving our mission:

The Alum Engagement Coordinator will support the Alum Engagement (AE) team, which focuses on providing LSA students with opportunities to engage mentors from a diverse community of LSA alumni.

Responsibilities*
The Alum Engagement Coordinator performs various responsibilities to support the day-to-day operations of the Alum Engagement team. The Coordinator reports to the Director of Alum Engagement.
Job Overview:
- Provide administrative and operational support to the Alum Engagement team.
- Collaborate with and across teams to coordinate events, schedules, and resources, assisting team members in achieving objectives and maintaining productivity.
- Act as the primary point of contact for team-related inquiries and administrative tasks.
Key Responsibilities:
- Administrative & Operational Support:
- Maintain the Alum Engagement (AE) Team shared calendar with important events and meetings, and ensure it reflects team member schedules and travel.
- Organize travel arrangements, provide detailed itineraries, and manage expense reporting for the Director and team as needed.
- Schedule and organize team meetings, ensuring agendas, materials, and follow-ups are prepared; Take meeting notes, document key decisions, and distribute meeting minutes.
- Maintain inventory of alum-facing supplies and gifts, ensuring the team has the necessary items for prospecting and stewardship.
- Coordinate staff employment searches and onboarding for the AE team.
- Assist with onboarding of staff and student staff as needed.
- Collaborate across the Hub to support other teams and efforts, and special projects as needed.
- Communication:
- Manage team-shared inboxes, responding to and triaging messages promptly.
- Serve as point of contact for AE to Hub teams, committees and working groups as assigned.
- Facilitate written and verbal communication with various audiences, such as alums, students, and campus partners.
- Represent the LSA Opportunity Hub as a liaison to assigned departments/units.
- Maintain the alum engagement sections of the department website.
- Assist in preparing and proofreading content for team communications.
- Documentation & Data Management:
- Record contact note interactions within the Hub's client relationship management system regularly.
- Compile operational reports regularly to share with the Director and the AE team.
- Support team with data collection, reporting, and analysis to track project progress.
- Maintain accurate records of administrative activities, such as expenses, timesheets, and travel itineraries.
- Project & Event Coordination:
- Assist with event and project timelines, tracking deadlines, and following up with team members on action items.
- Help maintain project management tools and ensure that key tasks and deadlines are met.
- Manage day-of-event logistics, such as setup of in-person or virtual rooms, coordinating with food vendors, managing the student check-in processes, etc.
- Collaborate across the Hub and the college to provide event support as needed.
Required Qualifications*
- Experience as an administrative, team or program coordinator, executive assistant, or similar role.
- Strong organizational and multitasking skills with attention to detail.
- Proficient in office software (e.g., Google Workspace) and collaboration tools (e.g., Slack, ClickUp).
- Experience using databases, including the ability to develop queries, create reports, and use the database as a client management tool
- Excellent written and verbal communication skills.
- Ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Strong problem-solving skills and a proactive approach to challenges.
- Ability to work independently and as part of a team.

- Bachelor's degree and/or equivalent work experience
Modes of Work
