Job Summary
The College of Pharmacy is seeking qualified candidates for the position of Graduate Student Affairs Manager. The Graduate Student Affairs Manager will serve as the student support and liaison for graduate students (Clinical Pharmacy Translational Sciences, Medicinal Chemistry, and Pharmaceutical Sciences PhDs and Master's), faculty, program chairs, department chairs, and deans, ensuring compliance with Rackham and University policies. This role provides leadership in program administration, supports recruiting and admissions processes, maintains data and records, and fosters a supportive environment for graduate students through events and direct engagement.
Responsibilities*
Management of Graduate Student Affairs 45%:
- Act as the primary contact and advisor for graduate students (PhD and Master's), faculty, program chairs and directors, department chairs, and deans regarding Rackham and University policies and procedures, including degree requirements, registration, admissions, enrollment, benefits, and international student regulations.
- Provide leadership and guidance to program staff on admissions and student milestone monitoring.
- Recommend and implement process improvements to enhance the student experience.
- Support college-wide graduate student events, including orientations, onboarding, award banquets, and other student focused events.
- Serve as staff liaison to graduate student organizations, offering consultation on event
Program Management for Doctoral and Master's Programs 35%:
- Manage administrative operations of the College's doctoral and masters programs;
- Evaluate and analyze courses of action, set goals and priorities for the doctoral and masters programs that are consistent with Rackham and University policies, and ensure consistent and equitable policy implementation across all programs.
- Support and recommend processes to ensure compliance and best practices for doctoral and master's programs.
- Manage the annual completion and review of Individual Development Plans by PhD students and faculty advisors.
Admissions and Recruiting Support 10%:
- Support and participate in recruiting activities, including presentations to undergraduate organizations and hosting information sessions.
- Support the Senior Associate Dean with ensuring compliance with targets and notification timelines for admitted PhD applicants and assist with department-led admissions process as needed.
- Support Master's admissions through the MSIPS committee, managing application reviews, decision notifications, and tracking.
Data Maintenance and Reporting 5%
- Collaborate with College staff and leadership to assess program objectives and prepare data reports.
- Manage and maintain student data systems, providing reports on admissions, enrollment, and graduation metrics.
- Respond to university and college ad hoc regarding graduate programs.
- Analyze and interpret benchmarking data, offering recommendations to college leadership.
Website, Student Handbooks, and Event Management 5%:
- Maintain and update student curricula and degree information in the Student Handbooks and on the College website.
- Assist with the planning and execution of college events, providing support to other student services activities as needed.
Required Qualifications*
- Bachelor's degree or an equivalent combination of education and experience.
- 3-5 years of experience in student services or a related field.
- In-depth understanding of university policies and procedures related to student affairs, with particular expertise in Rackham graduate student policies.
- Exceptional attention to detail, strong mathematical aptitude, and excellent organizational, interpersonal, and communication skills.
- Proven ability to work both independently and collaboratively within a team.
- Capability to manage multiple complex processes efficiently and effectively.
- Advanced proficiency in Microsoft Excel and familiarity with other Microsoft Office applications.
- Experience with M-Pathways Student Financial Aid, Student Admissions, and Student Records systems.
- Competence in creating queries using Business Objects, or a willingness to learn.
