Job Summary

The Division of Dental Hygiene is looking for a Student Administrative Assistant Senior who will perform a diverse set of responsibilities, providing support and outstanding service to students, faculty, and staff in the School of Dentistry. You will provide varied, high level functional support as a member of the Dental Hygiene team and support the Director of Dental Hygiene.

What You'll Do

Under general direction, provide administrative support to students, faculty and staff in the Division of Dental Hygiene within the Department of Periodontics and Oral Medicine to ensure successful functioning of student services, program logistics, and communication with the Division. This includes but is not limited to:

  • Senior Level:
    • Student Support: Serve as the primary contact for dental hygiene students, providing guidance on program requirements, academic policies, and university resources
    • Admissions: Coordinate evaluation of transfer credits and pre-requisite requirements, organization of completed applications and interviews, moderate Admissions Committee meetings, track admissions outcomes
    • Administrative Coordination: Manage student records, enrollment, and scheduling while ensuring compliance with institutional and accreditation standards
    • Event and Program Logistics: Independently Coordinate program-related events, including orientations, graduations, exams, class schedules, faculty in-services, and clinical rotation activities
    • Data Management: Maintain databases related to student progress, clinical activities, program outcomes, and alumni activities. Produce required reports for accreditation and program review
    • Support Faculty and Staff: Provide comprehensive administrative support to faculty and staff, including scheduling meetings, preparing materials, managing communications, and coordinating activities
    • Problem Resolution: Address and troubleshoot student concerns with decision-making authority

  • Intermediate Level:
    • Student Support: Serve as the primary contact for dental hygiene students, assist with guidance on program requirements, academic policies, and university resources
    • Admissions: Assist with evaluation of transfer credits and pre-requisite requirements, organization of completed applications and interviews, schedule Admissions Committee meetings, track admissions outcomes

Required Qualifications*

  • Senior Level:
    • Associate degree or equivalent and four or more years supporting a high-level administrator in an academic or health sciences setting
    • Demonstrated support of individuals and groups from a variety of cultures, backgrounds and ideologies with a commitment toward inclusion
    • Exercise considerable discretion and able to resolve complex requests and issues
    • Excellent customer service and interpersonal skills to effectively communicate with individuals at all levels within the school's organizational structure 
    • Demonstrated competence in using collaborative file sharing in a network environment and electronic calendars

  • Intermediate Level:
    • High school education or equivalent and at least two or more years supporting administrator in an academic or health sciences setting
    • Demonstrated support of individuals and groups from a variety of cultures, backgrounds and ideologies with a commitment toward inclusion
    • Exercise considerable discretion and strong critical thinking skills with a proactive approach to resolving complex requests and issues 
    • Experience providing high quality customer service 
    • Demonstrated foundational skills in using collaborative file sharing in a network environment and electronic calendars

Work Schedule

Monday - Friday 8:00am - 5:00pm. Occasional weekend and/or evening hours may be required for certain events. In person meetings and events are expected for this position. This position may be eligible for some remote and/or flexible work opportunities at the discretion of the hiring department.

Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.

This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.

Additional Information

Senior Level Salary Range: $49,000 - $58,000

Intermediate Level Salary Range: $40,000 - $49,000
