Responsibilities*
- Utilize a software-based call management system for outbound and inbound calls, including responding to phone inquiries from patients, staff, referring physicians, and the public.
- Obtain and verify patient registration demographic information and obtain accurate patient insurance information, updating as necessary by contacting the registration department.
- Manage referral work queues and appointment waitlist in electronic medical record system (MiChart).
- Process referrals through the MiChart workqueues, place initial call to patients to triage symptoms. Collect and document patient symptom information for review by clinicians.
- Promote and enroll patients in the patient portal and deliver appointment information and instructions to patients.
- Accurately and efficiently schedule, reschedule, and manage complex clinic schedules for audiologists, physical therapists, and otology physicians utilizing MiChart (Epic Systems).
- Coordinate pre-op, post-op and follow up visits with various Otolaryngology clinics.
- Manage of pre-arrival functions to assure all necessary information has been obtained for clinic visits.
- Greet patients arriving for clinic visits, verify appointment status, and process electronic check in. Ensure completeness of patient questionnaires prior to patient being seen by clinician.
- Process electronic check out and assist patients in scheduling follow-up appointments as necessary.
- Request insurance authorization as required and enter referral/authorization information into MiChart.
- Respond to patient inquiries related to special requirements of insurance plans, directing patient to insurance carrier as needed to address coverage and benefit questions.
- Assist patients with billing questions on the phone or in person.
- Maintain adequate inventory of medical and office supplies.
- Actively participate in discussions designed to enhance clinic flow in coordination with clinic manager, other staff, and clinicians, and proactively identify opportunities for improving service to patients and clinicians.
- Participate in creating efficient patient flow coordinating with providers and other staff.
- Conduct additional projects and duties as assigned and directed by Clinic Manager.
Required Qualifications*
- High School Diploma or GED.
- 2-3 years of experience in an outpatient clinical setting with knowledge of basic medical terminology and software scheduling systems.
- Exceptional interpersonal skills for successfully interacting with audiologists, physical therapists, office personnel, patients, family members, physicians, nursing staff, and the general public.
- The ideal candidate will have a demonstrated record of outstanding customer-focused service. Ability to work both independently and as a team member.
- Must be able to manage multiple responsibilities in a busy clinical setting, possessing strong problem-solving skills and attention to detail. Must have strong organizational and time management
skills, as well as ability to prioritize to manage daily responsibilities in a highly specialized clinic. - Excellent active listening, written, verbal, and information technology skills, including knowledge of and experience with Microsoft Office software.
- Demonstrated record of excellent attendance.
Desired Qualifications*
- Experience working within a large, complex health care setting.
- Familiarity with Epic electronic health record system (MiChart).
- Knowledge of Michigan Medicine policies and procedures.
Modes of Work

Union Affiliation
This position is covered under the collective bargaining agreement between the U-M and the Service Employees International Union (SEIU), which contains and settles all matters with respect to wages, benefits, hours, and other terms and conditions of employment.
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
