Job Summary

The Frankel Cardiovascular Center (FCVC) program assistant will provide administrative support for the FCVC Administrative Director and FCVC Senior Strategic Analyst in support of FCVC operations and strategic priority initiatives.  You will also provide direct support to various FCVC programs including, the FCVC Administrative Fellowship Program, the Transformational Leadership Program and the FCVC Early Leadership Intensive Program.  

Responsibilities*

Provide administrative support for operations of the Center inclusive of:

  • Manage all correspondence and communication.
  • Manage, analyze, and appropriately prioritize complex calendars including room assignments.
  • Assist with agendas, meetings, meeting minutes and communication about conferences.
  • Reconcile monthly P-Cards and expense reports.
  • Lead support for major conferences, board meetings, site visits and key meetings including coordination of information and materials for presentations, ensuring all required materials are received by the deadline.
     

Administrative Fellowship Program Coordination:

  • Coordinate the day-to-day operations of the fellowship program.
  • Develop and maintain comprehensive databases and tracking systems for fellows, program activities, and outcomes.
  • Provide timely information and support for activities.
  • Organize logistics for events, workshops, seminars, and meetings.
  • Assist in developing program materials, handbooks, evaluation forms, and reports.
  • Support budgetary and financial processes, including expense tracking and reimbursements, in partnership with the FCVC finance team.

Administrative Support for Strategic Priority Initiatives/ Center Programs:

  • Administrative coordination of the new Early Leadership Intensive Program.
  • Support administrative operations of the existing Transformational Leadership Program.
  • Support administrative operations for culture improvement initiatives.
  • Support administrative operations and coordination for community outreach initiatives.
  • Provide additional support as needed across strategic priority areas of focus.
  • Provide administrative support for the FCVC Summer Fellowship Program and Careers in Cardio program.
     

Required Qualifications*

  • Bachelors degree or equivalent combination of education and experience.
  • Previous experience in office administration or project/program management.
  • Handles confidential materials and situations with sensitivity and discretion.
  • Demonstrated ability to work independently with minimal supervision.  Able to multi-task and work well under time constraints.
  • Strong organizational and problem-solving skills.
  • Ability to collaborate with others in a diplomatic and effective manner to find effective solutions.
  • Excellent interpersonal, written and verbal communication.
  • Experience utilizing Microsoft Word, PowerPoint, Excel, and web-based applications are necessary.

Desired Qualifications:

  • Previous experience with fellowship and/or educational programs and event planning is desired.
  • Experience utilizing Outlook, M-Pathways and other University of Michigan IT systems including grant management programs is desired.
  • Knowledge of University policies, rules, and regulations is desired.

Work Schedule

This position is primarily onsite, Monday-Friday (4 days onsite, 1 day remote), day shift and will require some flexibility to occasionally work outside the normal business hours to support committee meetings and other events.  The schedule arrangement is based on the current needs of the department and may be subject to change.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
