Job Summary

This position is crucial in supporting the School of Kinesiology's Office of Undergraduate Education (OUE) by overseeing and enhancing day-to-day operations, initiatives, and programming. Reporting to the school's Registrar and Manager, Undergraduate Education, key responsibilities include managing administrative processes related to course registration, curricular updates, and evaluation reporting. The role involves coordinating various academic and operational functions, as well as continually reprioritizing the most urgent workflow.

Additionally, the role facilitates the recognition of student and faculty achievements through award programs and contributes to the planning and execution of departmental events and meetings. Collaborative communication with students, faculty, and staff is essential to ensure efficient and effective operations. In addition to core responsibilities, this position requires flexibility to manage time-sensitive and critical arising issues.

The School of Kinesiology (SoK) is the fourth-largest undergraduate admitting school at the University of Michigan, with over 1,400 undergraduate students and graduate students across our four programs of Applied Exercise Science, Athletic Training, Movement Science, and Sport Management.

Responsibilities*

NOTE: A new Curriculum Assistant position is being developed and will be added to the Undergraduate Education team.  In the interim, and as the Assistant, Specialist, and Manager positions balance priorities, the percentages of time spent on various responsibilities may shift from the anticipated figures outlined below.  

(EF) = Essential Function

Interim Job Responsibilities 30% (until Curriculum Assistant is hired):

  • Request, collect, and archive syllabi for Kinesiology and University repositories
  • Assist with (August) Fall Teaching Meeting (catering) 
  • Process expense reimbursements
  • Non-Curricular Classroom Reservations (EF): 
    • Manage non-curricular classroom reservations and communicate with faculty, staff, student groups, the U-M RO and the facilities team  
    • Coordinate MSBC SKB room reservations
    • Log all room requests into Trello that are initiated in the Qualtrics room reservation form


Curriculum Primary (37%);  (20% during added interim responsibilities)

  • Primary contact for kines registration workflow-intake through resolution (EF)
  • Lead contact for curricular changes (CARFs) and resulting updates to SoK website course catalog (EF)
  • Order, archive and report exceptional teaching evaluations (EF)
  • Manage final exam special requests and administrative hold conflicts (EF)


Curriculum Secondary (38%);  (40% during added interim responsibilities)

  • Prepare a listing of available seats for scheduled orientation sessions
  • Order and reconcile course fees 
  • Manage the forms, approvals, and tracking for Advanced Teaching Assistants and Course Assistants 
  • Manage final exam special requests and administrative hold conflicts
  • Oversee final grade reporting
  • Other duties as assigned


Budget (5%);  (0% during added interim responsibilities)

  • Track SoK OUE budget expenditures


Events & Awards (10%);  (0% during added interim responsibilities)

  • Lead SoK Awards for students and faculty (EF):
    • AKA National Undergraduate Award (CIC) 
    • Major of the Year Award (New)
    • LEIT Award (Lecturers)
    • Collegiate Lecturer Program Award
  • Assist with (August) Fall Teaching Meeting (outline agenda, confirm speakers)


Other duties as assigned 10%

  • Manages absence coverage and overflow workload for OUE team.
     

Required Qualifications*

  • High school education or equivalent, and at least two years of progressively responsible work experience, preferably in education.
  • Demonstrated experience in exercising initiative, independently solving problems, and working with minimal supervision.
  • Experience managing cyclical workflows, timelines, and documentation efficiently.
  • Competency with Microsoft Office Suite and Google Workspace, alongside an adaptability to embrace new technologies.
  • Proven success with contributing to a positive workplace culture, and ability to consistently demonstrate our school's core values.

Desired Qualifications*

  • Bachelor's degree in education, business or another related field.
  • Experience with student registration systems, or similar workflow systems.

Additional Information

The general salary range for this position is $50,000 - $55,000.  An offer may be extended outside of this range based on equity, experience, knowledge, and skills for the position.  You are encouraged to discuss salary questions to honor understanding and transparency throughout the recruiting process. Benefits are included with this position.  

This position has the potential for a hybrid schedule, after a 1 month training period, with a remote option up to 2 days/week (with Wednesdays being a required in-office day). Remote work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.
