Job Summary
The Special Events and Project Coordinator reports to the Director of Development and Campaign Initiatives and Interim Director of Marketing and Communications and develops and implements a comprehensive, sustainable events and project management strategy designed to foster engagement of the Stamps constituency base and provide streamlined project management for the Advancement Team at the Penny W. Stamps School of Art & Design.
You will oversee alumni relations and events by conceptualizing and delivering on strategic outcomes to increase giving and engagement through audience experiences including events, volunteer and mentorship opportunities. Additionally, you will support the work of the Advancement team through project coordination and communication management with internal and external audiences.

Responsibilities*
- Manage Stamps School events to build community, engage prospects, and support solicitations
- Develop pre- and post-event materials, including communications, speaking points, and briefings for leadership
- Track post-event analytics to identify trends and improve future programs
- Lead logistics for the Dean's Advisory Council and track regional Office of University Development events for Stamps participation
- Implement engagement strategies through volunteer and networking opportunities to build relationships with alumni, parents and donors
- Collaborate with Advancement to recruit partners for the Jain Industry Partnerships Program
- Identify new alumni engagement opportunities through directory and information sharing
- Organize alumni events for reunions and special milestones
- Oversee advancement projects, ensuring timelines and goals are met
- Manage project workflows and coordinate team emails and task assignments
- Pull and manipulate data for communications, events, and alumni engagement
- Assist with research and data analysis for strategic planning
- Manage marketing efforts and communications using MailChimp
- Provide administrative support for special projects as assigned by the Dean or supervisors
Required Qualifications*
- Bachelor's degree with 3+ years of relevant experience
- Experience in fundraising, alumni relations, events, project management, or a related field
- Experience managing databases, volunteers and committees
- Experience using project management tools
Work Locations
This is a hybrid role, combining both remote and onsite responsibilities. It will also involve occasional travel and may require working evenings and weekends as needed.
