Job Summary

The School of Kinesiology invites well-qualified applicants for an Administrative Assistant Intermediate position. In this role, your primary function is to support the school's sport management (SM) program faculty, the Program Chair, and the Program Administrator with the daily administration of activities. You will be responsible for delivering a high level of service to all employee, student, and visiting populations. Review the full description here.

Responsibilities*

Purchasing (25%) (EF)

  • Purchase office, instructional, and research lab supplies for SM through Marketsite by creating purchase orders through MPathways and as needed on a University PCard. Ensure all orders meet grant requirements, are done within University guidelines, and meet all the proper approvals within the School of Kinesiology and the University


Travel reimbursements/Emburse Enterprise (20%) (EF)

  • Prepare travel reimbursements for individuals related to the SM program who are not in the Emburse Enterprise system (students without a university position and guests)
  • Submit expenses on PCard through Emburse Enterprise as needed


Guest travel arrangements/events (15%) (EF)

  • Assist SM faculty with coordinating workshops, guest speakers, catering orders, and room scheduling, with input from the school's Manager of Events and Alumni Engagement
  • Assist with travel arrangements (airfare, taxis, lodging) for SM guests, which may include faculty candidates


Support SM Program Chair and SM Program Administrator (15%)

  • Schedule meetings as requested, including group meetings (SMAB and MSBC)
  • Call for agenda items and collect materials for monthly SM Program meetings/SM Faculty meeting items


Faculty instructional support (5%) (EF)

  • Assist with the organization of course materials for SM faculty (e.g. make copies for exams and provide copy/scanning assistance)


Room scheduling and maintenance for designated office area (10%)

  • Distribute mail and packages to designated area (EF)
  • Maintain office supplies, copier(s) and other business equipment in designated area (EF)


Other (10%)

  • Attend monthly meetings administrative meetings and assist as assigned (EF)
  • Provide backup coverage to other school administrative assistants as needed (EF)

Required Qualifications*

  • 2+ years of related administrative support experience
  • Bachelor's degree and/or equivalent combination of education and experience
  • High level of proficiency with technology and software (Word, Excel, PowerPoint, Access, Google Workspace, Adobe Acrobat, Zoom)
  • Proven success with contributing to a positive workplace culture, and ability to consistently demonstrate our school's core values. 

Desired Qualifications*

  • Experience with University of Michigan (U-M) financial policies, procedures and systems but not limited to M-Pathways, or ability to learn related systems quickly
  • 1+ years of experience with the Emburse Enterprise reporting system and purchasing at U-M, or ability to quickly learn related systems
  • Experience in an academic environment

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

The general salary range for this position is $47,000 - $53,000. An offer may be extended outside of this range based on equity, experience, knowledge, and skills for the position. In-Person Work Schedule: Monday through Friday, 8:00am-4:30pm; there will be program meetings that will require earlier arrivals (as early as 7:00am) and later departures (as late as 5:30pm). This is a full-time position with work taking place on-site at the School of Kinesiology, 830 N. University, Ann Arbor, MI.
