The Office of Research and Sponsored Projects (ORSP) safeguards and advances U-M?s research enterprise by providing its partners with efficient pre-award and non-financial post-award services for the compliant administration of externally sponsored grants, contracts, and ancillary agreements. The Sponsored Projects Coordinator plays a pivotal role within ORSP, ensuring the efficient and accurate processing of activities to support the efficient administration of sponsored projects. This individual will be responsible for validating administrative information, establishing and assigning sponsor codes, establishing electronic records, and initiating workflows in our electronic system based on incoming activities from various sources, including email and sponsor electronic systems. The Sponsored Projects Coordinator will work collaboratively with cross-functional teams to support the successful management of sponsored research projects.
Under management of the ORSP Managers, Sponsored Projects Coordination, this position is responsible for the following:
Principal Job Duties Workflow Initiation & Management and Quality Assurance
Review and validate administrative information on proposals, contracts, and awards received through ORSP, ensuring accuracy, completeness, and compliance with institutional processes and policies.
Collaborate with project teams to resolve discrepancies and gather missing information as needed.
Monitor incoming activities from email communications and sponsor electronic systems related to sponsored projects.
Prioritize and triage incoming requests for sponsored project support, contract negotiation, award issuance, just-in-time, and other sponsored project activities, determining the appropriate workflow and action items.
Initiate and oversee the workflow processes in U-M's electronic research administration system, including routing tasks to relevant teams, team members and external stakeholders.
Electronic Record Management
Manage the assignment of sponsor codes to incoming records and establish new sponsor codes when necessary.
Maintain a comprehensive database of sponsor codes and ensure accurate categorization of sponsors.
Utilize the U-M?s electronic research administration and other systems(s) to establish and maintain proposal, agreement, and award, and other ORSP records.
Ensure that electronic records are organized, up-to-date, and easily accessible to authorized personnel.
Maintain meticulous records of administrative data and documentation.
Maintain data integrity and security in accordance with institutional policies and regulations.
Manage ORSP record retention process ensuring prompt disposition of records in accordance with Sponsor terms and University policies.
Administer campus permissions and user roles to a variety of external sponsor systems including eRA Commons.
Compliance and Documentation
Stay current with sponsor guidelines, regulations, and compliance requirements related to sponsored projects.
Assist in the preparation and submission of reports and documentation.
Ensure that all records and processes adhere to institutional and regulatory standards.
Required Qualifications*
U.S. Citizenship or Lawful Permanent Resident Status: ORSP deals with export controlled information, the handling of which is regulated by the U.S. Federal Government and access to which is restricted to U.S. Citizens and Lawful Permanent Residents.
Desired Qualifications*
Bachelor's degree from an accredited institution.
Experience in pre-award related to various extramural sponsors, such as Federal agencies, state agencies, nonprofit organizations, and industry.
Working knowledge of sponsor software systems (e.g. eRA Commons, Research.gov, Proposal Central, etc.).
Familiarity with U-M policies and procedures related to research administration (including, but not limited to, accounting, purchasing, personnel, and regulatory compliance).
Experience providing excellent customer service.
