Job Summary
The Department of Von Voigtlander Women’s Hospital (VVWH) Nursing Services is a full-scope Perinatal care hospital at University of Michigan Health. We are seeking an experienced administrative professional to provide direct support to the nursing leadership.
Candidates for this position must have the knowledge, skills, abilities and experience needed to provide highly responsible and effective administrative support in an academic health care setting. Key skills include: accuracy and attention to detail, the ability to problem-solve, excellent planning skills, consistent and effective follow-through on all matters, high quality writing skills, excellent customer service and diplomacy and the ability to handle sensitive matters in a discreet manner. The successful candidate will be working in a fast-paced environment with ever-changing priorities and must be adaptable, able to work under pressure to meet deadlines, and able to develop relationships with clinicians and staff from across the health system as needed to support a collaborative environment.
The Administrative Assistant Sr is an integral member of the Von Voigtlander Women's Hospital team, inclusive of Labor & Delivery, High Risk, Postpartum-Newborn, and OB Core units, providing clerical support for nursing administration, patients, visitors, families, and ancillary personnel and daily management of payroll, time, attendance, and operational data.

Responsibilities*
- Budgetary reconciliation including processing journal entries.
- Supply ordering using purchase orders/shortcodes.
- Planning and processing travel/conference registration.
- Processing tuition reimbursements.
- Advise management of trends, concerns, and suggested measures to maintain standards and continued improvement.
- Exhibit exemplary customer relation skills in interacting with various management levels and department staff.
- Maintain Static Groups and Finance groups.
- Posting, monitoring and hiring new employees through eRecruit.
- Train employees in new or revised work methods and procedures and orient new employees.
- Develop, maintain, adjust nursing and ancillary schedules and personnel paperwork.
- Entering and reconciling payroll, personnel related work for nursing and assistive personnel.
- Project work, workgroups and maintaining personnel/staffing reports.
- Maintain employee records in accordance with HR and UMHS policies.
Required Qualifications*
- High school diploma or equivalent.
- More than 4 years of experience performing responsible office duties.
- Payroll experience.
- Excellent verbal/written communication skills.
- Demonstrated ability to work independently and cooperatively, prioritize and complete tasks in a timely manner.
- Demonstrated ability to do exceptional tracking and follow up with excellent attention to details.
- Demonstrated ability to multitask in an environment of shifting priorities with a high degree of accuracy.
Desired Qualifications*
- Two to three years experience with OneStaff.
- Payroll experience.
- Microsoft Windows and Excel.
- Proficiency with MPathways.
- Knowledge of eRecruit.
- Knowledge of UMHS/UMPNC/MNA contract.
- Knowledge of AFSCME Local 1583 contract.
- Knowledge of UMHS policies and procedures.
- Associate or higher degree in business, human resources or related field.
Work Schedule
Hours: 8:00 am - 4:30 PM
Monday through Friday hybrid schedule

Background Screening
