Job Summary
The Detroit Community-Academic Urban Research Center (Detroit URC) is seeking a part-time (50%) administrative assistant senior to provide a high-level of administrative support to further the work of the Center as well as its community-based participatory research (CBPR) projects. The Detroit URC is a collaboration of representatives from multiple Detroit organizations and academic researchers from the University of Michigan who work together to foster health equity in the city of Detroit. The Detroit URC Board, composed of representatives of each of the partner organizations, oversees all aspects of the Center in accordance with a set of CBPR principles adopted by the Detroit URC Board.
This one-year term-limited position can be renewed and may be increased in percent effort pending additional funding.
What You'll Do
The responsibilities include but are not limited to:
GENERAL ADMINISTRATIVE RESPONSIBILITIES
- Prepare expense reports and process invoices (e.g., for small planning grants, stipends, grants), using U-M programs such as PeoplePay, Marketsite, Emburse, and Shared Services
- Maintain and order office supplies and computers
- Prepare meeting materials for Detroit URC team and research project teams
- Take detailed meeting minutes and circulate to appropriate individuals
- Schedule in-person and phone conference meetings with Detroit URC team and research project teams
- Make travel arrangements for project faculty, staff, and team members
- Provide support for Detroit URC-related events (coordinating travel for external guests, hotel reservations, flights, venue logistics, reimbursements, etc.)
- Create and maintain electronic files and databases (calendars, correspondence, documents, and tracking systems) to ensure that deadlines are met and information is disseminated accurately and in a timely manner
- Other general administrative responsibilities as assigned
RESEARCH-RELATED RESPONSIBILITIES
- Facilitate the submission of research grants and publications by managing references, developing tables, formatting to funder/journal requirements
- Edit and format Detroit URC PowerPoint presentations
- Coordinate the printing of posters for professional research conferences, events, etc.
- Compile, mail, and track on recruitment packages for Detroit URC based research projects
- In conjunction with Center Manager, track and respond to research project inquiries in a timely manner
- Coordinate the processing and e-mailing of incentives for research project participants through UM Human Subject Incentive Program (HSIP)
- Create and maintain electronic files
- Administer and manage surveys using Qualtrics
- Other research administrative responsibilities as assigned

Skills You Have
- High school degree and 4 or more years of relevant work experience
- Excellent planning, organizational and work coordination skills are necessary, including a positive, flexible, responsive service-oriented attitude; the ability to manage a large and diverse workload with excellent attention to detail; and the ability to prioritize and meet deadlines in a timely manner
- Flexibility to meet changing priorities

- Ability to act effectively as a member of a team and also independently
- Demonstrated proficiency with MS Word, Excel, Canva, and Google Drive (documents, flyers, spreadsheets and forms)
- Proficiency or ability to learn survey management software (eg Qualtrics)
- Fluency and/or ability to learn reference/citation management systems for grant proposals and research publications (i.e., Zotero, EndNote)
- Understands and values diversity and the importance of inclusion as demonstrated through a commitment to apply and incorporate the differences, complexities, and opportunities that diversity brings to an organization
Desired Qualifications*
- Administrative support experience in a University of Michigan department or program is strongly desired
- Familiarity with National Institutes of Health grant submission procedures and processes
- Bachelor's degree
Work Locations
The administrative position is based at the University of Michigan School of Public Health, Department of Health Behavior & Health Equity in Ann Arbor, Michigan.
Modes of Work
