Job Summary
The Department of Orthopaedic Surgery is seeking an independently motivated and very organized senior level administrative assistant to provide proactive, comprehensive, and advanced administrative support to a group of faculty members across their range of academic, clinical, and research activities. This position will be expected to partner with clinical and other administrative staff to efficiently coordinate and provide faculty with seamless administrative support.

Responsibilities*
- Provides highly responsible, advanced, and skilled administrative support to faculty and leadership in Orthopaedic Surgery demonstrating a professional customer-service attitude
- Provide complex calendar and time management support by maintaining accurate daily academic calendars for faculty and with regard to data from multiple sources including clinical schedules, resident, educational, and other faculty activities, and working collaboratively to coordinate schedules with other admins and the clinical scheduling teams who also support faculty.
- Screen, prioritize, and route communications including emails, phone calls, and meeting requests - demonstrating excellent verbal, written and interpersonal skills. Maintain professional communication etiquette, responding appropriately and timely.
- Initiate, draft, edit and proofread professional correspondence, strategic documents, letters of recommendation, and Power Point presentations maintaining excellent grammar and attention to detail. Edit and format journal articles, and book chapters.
- Schedule depositions and legal meetings; maintain legal fee schedules.
- Independently track and follow up on a volume of detailed work to coordinate and complete it appropriate consideration to priority and timeliness
- Provide support for meetings: schedule and provide reminders for meetings both in-person and video conference. Prepare agendas and proactively gather or assist with preparing any supplemental materials, set up audiovisual conferencing or room reservations, take accurate and clear meeting minutes, distribute minutes as directed, order and set-up refreshments, track action and pending items, and coordinate follow-up activities.
- Assist with maintaining CME accreditation for meetings if applicable.
- In collaboration with the Shared Services Center, prepare Hosting Forms, People Pay, Travel and Expense Reports, PCard reports and reconciles financial accounts and activities of faculty, relaying clear and concise financial account report information on a regular basis to faculty.
- Manage travel arrangements for faculty and visitors, including domestic and international travel. This includes, but is not limited to: booking conference registration, reserving venues within and outside the University, arranging catering, arranging flights, hotels, and ground transportation, preparing detailed travel itineraries, and any other applicable travel arrangements through appropriate University tools and in accordance with allowed expenses.
- Maintain accurate and up-to-date faculty CVs in Elements platform in accordance with University of Michigan Medical School formatting guidelines and maintain NIH bio-sketches.
- Support manuscript development and submission to journals/book editors, including reference formatting.
- Renew annual memberships for faculty prior to expiration, assist with monitoring licensure renewal dates, credentialing materials and board certifications to ensure continued certification and privileges.
- Ability to coordinate and execute all aspects of a one-day annual lectureship event
- Work collaboratively with other members of the Admin Team when necessary, providing admin support as needed in areas such as, but not limited to, back-up coverage for planned/unplanned absences, providing administrative support for various service specific events, etc.
- Additional administrative duties as assigned by Supervisor.
Required Qualifications*
- Associate's degree or equivalent combination of education and experience
- At least 4 years of progressively responsible administrative experience
- Experience with complex calendar support involving both academic and clinical coordination
- Excellent attendance and punctuality
- Excellent organizational skills and attention to detail, deadlines and policy compliance
- Proven ability to work independently, as well as part of an integrated team
- Proven ability to effectively prioritize, multitask, and adapt as priorities shift
- Appreciation for working with highly sensitive and confidential information
- Proficient in Microsoft Office
- Excellent interpersonal skills, must be able to interact effectively with a diverse group of faculty, residents, providers, leadership and staff
Desired Qualifications*
- Bachelor's degree
- Proven work record of having supported surgical faculty in their academic endeavors
- Ability to demonstrate an understanding of the University's faculty tracks and the faculty career-cycle
- Familiarity with University of Michigan Policies and Procedures, as well as UM systems (e.g. Emburse Enterprise, Marketsite, PeoplePay) and medical terminology.
- Advanced computer skills (Word, Excell, PowerPoint, Adobe, Outlook)
Work Locations
This position may be eligible for remote and/or flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.
Background Screening
