Reporting to the Director of Administration and Finance the Executive Assistant plays a key role in supporting this mission. You will manage complex scheduling, coordinate travel and events, handle confidential matters, and assist with procurement, HR tasks, and special projects. By ensuring the smooth execution of executive functions and operational processes, the Executive Assistant contributes directly to the success and impact of UMCI's work in Detroit.
The position is designed as a hybrid role (#LI-Hybrid ) with a blend of remote and onsite responsibilities.

Responsibilities*
- Provide comprehensive scheduling support to the Director, manage a complex calendar (scheduling in-person meetings, virtual meetings, and conference calls)
- Handle confidential matters using your knowledge of organization practices
- Coordinate travel and reconcile expenses
- Represent UMCI to a broad range of individuals through various modes of communication
- Support procurement, financial transactions (Pcards, journal entries), and Request for proposals (RFP) processes
- Serve as liaison across internal and external stakeholders
- Coordinate logistics of in-person meetings, conferences, and events including room reservations, catering, materials preparation, calendar coordination of participants
- Manage projects and new initiatives as assigned
- Assist in managing projects and deadlines and improving workflow
Required Qualifications*
- High School Diploma or equivalent
- 5+ years of related experience supporting top level leaders or executives
- Advanced proficiency in project management/organizational best practices
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides, and Drive), Microsoft Office, and Zoom
- Experience interpreting and implementing organizational policies and procedures.
- Experience handling sensitive and confidential information with integrity, ethical, and professional standards
Modes of Work
The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
