Responsibilities*
- Grant Management: Collaborate closely with the Chemistry Grants office to assist Dr. Brooks in managing grant spending. Ensure timely reporting and preparation of renewal grant proposals, maintaining a balanced fund strategy.
- Travel Coordination: Facilitate the scheduling of Dr. Brooks' travel itineraries, including managing all aspects of trips and ensuring accurate and prompt reimbursement processes.
- Visitor Arrangements: Oversee the logistical arrangements for visitors, including coordinating space and facilities for presentations and handling reimbursements.
- Student and Postdoc Support: Provide logistical support to Brooks Group students and postdocs attending meetings, including assistance with travel arrangements, poster printing, reimbursement processes, and applications for travel funds.
- Calendar and Meeting Management: Manage Dr. Brooks' and the Brooks Group's calendar, schedule weekly group meetings, and organize food orders as appropriate. Maintain web postings and schedule bi-weekly meetings with students and postdocs, ensuring smooth communication within the group.
Required Qualifications*
- Two or more years of experience in general office work.
- Bachelor's degree preferred with two years of administrative experience.
- Ability to work independently with significant level of responsibility
- Handle multiple tasks, set priorities and work to meet deadlines
- Exceptional organizational and interpersonal skills with excellent attention to detail strong written and verbal communication skills
- Must be a team player and thrive in a collaborative environment and have the ability to interact with diverse group of staff, students, visitors and constituents
Desired Qualifications*
- Knowledge of university policies, procedures and regulations is desirable
- Proficiency with Microsoft tools as well as (preferably) MacOS tools for word processing, spreadsheets, etc.
Modes of Work

Additional Information
This is a 50% effort, 12-month term-limited position with a possibility of renewal based on the availability of funding, the availability of work, and overall successful performance. This position has the potential for hybrid work.
