Job Summary
The Michigan Center for Translational Pathology (MCTP), situated within the Rogel Cancer Center at Michigan Medicine, is seeking a proactive and highly organized Administrative Assistant Senior. This role is integral to the seamless operation of our research and clinical programs, providing multifaceted administrative support to faculty, staff, and students. Key responsibilities encompass maintaining comprehensive personnel records, facilitating onboarding/offboarding processes, coordinating a variety of events and meetings, managing conference room schedules, overseeing reimbursement procedures, and promoting staff wellness initiatives. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to work collaboratively in a dynamic work environment.

Responsibilities*
Recruitment, Personnel Record Keeping Support:
Assist with recruitment logistics, including drafting job postings, scheduling interviews, and coordinating communication with candidates.
Support new team members through the onboarding and orientation process, ensuring timely completion of required documentation and training.
Coordinate the offboarding process for staff, students, and volunteers, including return of equipment, termination of access, and system updates.
Maintain accurate and up-to-date personnel records, including contact information, schedules, and performance documentation.
Administrative Office Support:
Serve as a point of contact for onsite support tasks such as printing, scanning, directing individuals to the appropriate person, and setting up meetings
Submit maintenance and facility service requests as needed.
Monitor and replenish office and breakroom supplies.
Oversee scheduling and maintenance of MCTP conference room calendars in Microsoft Outlook.
Coordinate bookings to avoid conflicts and ensure optimal room usage for meetings and events.
Coordinate scheduling for MCTP's various meetings, including lab-wide discussions, research team meetings, and collaborative sessions.
Use Microsoft Outlook's Scheduling Assistant to identify availability and distribute calendar invitations.
Ensure timely communication of meeting details and agenda materials to participants.
Support faculty, staff, and students in preparing and submitting reimbursement requests for work-related expenses.
Provide guidance on using the University of Michigan?s expense system (Emburse), ensuring compliance with university reimbursement policies.
Event Planning and Center Activity Management:
Work with the team to plan and coordinate a variety of events including seminars, celebrations, social networking.
Manage event logistics such as venue booking, catering, audiovisual setup etc. to ensure smooth and successful event execution.
Design and maintain the MCTP well-being activity board to promote staff wellness and community engagement.
Regularly update the board with timely content, initiatives, and interactive elements to encourage participation.
Required Qualifications*
- High school diploma with 4+ yrs experience or equivalent combination of education and experience.
- Minimum of 1 year of administrative experience in a research or academic setting.
- Proficiency in Microsoft Office Suite and familiarity with university administrative systems.
- Excellent organizational skills and attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
Desired Qualifications*
- Bachelor's degree
- Experience with University of Michigan's administrative processes and systems.
- Experience in event planning and coordination within an academic or research setting.

Background Screening
