Job Summary
The Administrative Assistant provides general administrative support to the College of Health Sciences Dean's Office, and provides administrative support for internal research and CHS programs.
This role reports directly to CHS Office Manager.
Responsibilities*
General Office Support
- Assists with managing the Dean's and Associate Dean's calendars
- Gathers data for Dean from various sources for various reporting purposes
- Including but not limited to coordinating preparation of department portions of CHS Annual Report
- Coordinates and facilitates student/faculty/staff events, including but not limited to:
- CHS Summer Camp
- Commencement
- CHS/PHHS Joint Honors Event
- Provides support for meetings as appropriate, including taking meeting minutes
- Assists with preparation of student letters for CHS
Internal Research Administration Support
- Assists with management, monitoring, and reporting of all CHS funded research grants
- Supports research application process, including:
- Assisting with locating/providing elements needed for the application
- Assisting with coordination of application materials
- Creating requests for project grants and relevant short codes
- Supports post-award process, including:
- Monthly monitoring of grant expenses
- Updating PIs on financials on a monthly basis
- Creating statements of activity and providing appropriate updates to faculty and/or Directors
- Supporting reporting requirements
- Managing close out process and financial status reports
- Maintaining research related files
- Assist Associate Dean with new faculty research orientations
Program Support
- Provides administrative support for:
- Research orientation
- HEART Clinic and HEART Committee
- Center on Aging
- Health for All

Required Qualifications*
- High school diploma or equivalent
- Four (4) years of relevant administrative support experience
- Two (2) years of financial administrative support experience
- Experience taking meeting minutes
- Proofreading and editing skills
- Strong proficiency in preparing spreadsheets, slides, graphics, and desktop publishing using Microsoft Office Suite and Google Suite
- Experience with customer service

The Administrative Assistant Intermediate salary range is $34,300 - $42,900.

Modes of Work
Hybrid
The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.

Background Screening
