Job Summary

The University of Michigan Health System is home to multiple Collaborative Quality Initiatives (CQIs) coordinating centers which seek to address some of the most common, complex, and costly areas of surgical and medical care. With funding from Blue Cross Blue Shield of Michigan (BCBSM), the CQIs work collaboratively with health care providers throughout Michigan to collect data to a centralized registry. The data are analyzed and shared to identify processes that lead to improved delivery of care and outcomes, and guide quality improvement interventions.

The Obstetric Initiative (OBI) is a CQI working with over 65 Michigan hospitals. OBI is working to address variation in obstetric care with a first initiative of supporting vaginal birth and safely lowering the cesarean delivery rate among low-risk patients. We are looking for a team-oriented person to join our team in the role of Administrative Assistant. 

Responsibilities*

Administration

  • Contact person for OBI workstation, including facilitation of check-in meetings and tracking tickets status. 
  • Provide support in scheduling meetings and check-ins between OBI and data vendors. 
  • Transcribe meeting minutes and follow up on next steps with stakeholders 
  • Triage requests from OBI hospitals, including responding to questions, researching OBI data workstation and data manual for answers, and reaching out to OBI team members for support. 
  • Create project plans, track task progress, collaborate with OBI team members in various ways such as Teams, emails, and project plan softwares. 
  • Support OBI P4P measures tracking, including monitoring data abstraction timeliness and data quality. 
  • Assistance with case study logistics. 
  • Review and extract time data from abstraction case study spreadsheets, calculating durations for each task and overall abstraction time 
  • Compile and summarize findings into organized tracking sheets, calculating averages and identifying trends or inconsistencies.

User Support

  • Provide user support or OBI workstation troubleshooting, login issues, and system down-times. 
  • Provide responses and/or solutions within 48 business hrs to OBI site requests such as login issues, adding/removing users, case edit and access requests 
  • Ensure users have appropriate roles and access to OBI workstation based on data permission policies. 
  • Help with workstation and data manual education, including educating new functionalities on workstation. 
  • Support workstation testing for version update and data pipeline implementation. 
  • Support various vendor transition activities as assigned

Required Qualifications*

  • Administrative support experience, ideally in a healthcare, research, or data-focused environment 
  • Experience coordinating meetings, tracking project tasks, and supporting data-driven programs 
  • Excellent written and verbal communication skills for drafting clear messages, transcribing meeting minutes, and following up with team members 
  • Able to respond to user support requests professionally within 48 business hours 
  • Comfortable interacting with technical systems and translating user needs into technical requests or follow-ups 
  • Comfortable using web-based portals, with the ability to troubleshoot user issues 

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

This is a term limited position with 24-40 hr per week work. The OBI team is a remote-first workforce; however, certain meetings are mandatory and may require you to be present in person. Reasonable notice of in-person meetings will be given. Remote work is supported and expected.
