Join the dynamic and innovative team at the Center for Entrepreneurship (CFE) as our Academic Programs and Records Specialist! In this exciting role, you'll be at the heart of our academic operations, coordinating course planning, scheduling, and enrollment processes while supporting faculty with classroom logistics and event execution. You'll report to the Assistant Director of Academic Operations and play a vital part in bringing our academic programs to life, ensuring a seamless experience for both instructors and students.
Beyond operations, you'll actively engage with students by providing academic advising and representing the CFE at campus events and recruitment activities. You'll also collaborate with our marketing team to boost visibility of our courses and workshops, and manage student records and data systems to help drive strategic improvements. Responsibilities*
Program Operations (50%)
- Manage the course planning and scheduling process as well as enrollment management activities. Coordinate ENTR instructional matrix, course meeting patterns, classroom reservations, and course evaluations in U-M's Curriculum Maintainer System. Update the Registrar per their guidelines and deadlines.
- Collect course petition/approval requests and track decisions.
- Facilitate faculty needs in implementing courses and other logistical aspects in the classroom (e.g., shared educational documents, learning management system, educational collateral, scheduling office hours and event space, providing instructional delivery support).
- Coordinate academic programs' event logistics, including vendor contracts coordination, catering, transportation, and payment processes in collaboration with the CFE's Administrative Coordinator and following U-M policies.
Student Recruitment, Advising, and Support (25%)
- Advise students interested in participating in the CFE's courses and curricular workshops. Provide information about CFE's course offerings and opportunities available to students across the College and University. Provide guidance on plans of study and course curriculum.
- Represent the CFE at events, info sessions, fairs, conferences, symposiums, panels, and webinars.
- Deliver presentations about the CFE's academic programs to prospective students, campus partners, and external partners.
Communications and Outreach (10%)
- Build relationships with advising offices, student advising personnel, and student organizations in the College of Engineering and other Schools and Colleges to create awareness of CFE's programmatic offerings.
- Collaborate with the CFE's marketing and communications team and provide input in the development of student recruitment campaigns, student events planning, and outreach. Make recommendations for student marketing and promotional materials.
Data Management, Reporting, and Analysis (10%)
- Maintain academic programs data, including prospective and current student data, student records, email groups, and student communications, in appropriate systems [Student Administration System (M-Pathways/PeopleSoft), Google Suite, InfoReady, and Acuity].
- Recommend and implement data collection, programmatic, and advising enhancements to increase efficiencies. Document processes.
- Collect and manage surveys, feedback, progress, and processes. Track students through the application, interview, and acceptance processes.
Other Responsibilities (5%)
- Be backup support for Graduate Certificate student services.
- Participate in professional development and relevant committees to support strategic collaboration and growth.
- Perform other duties as assigned.
Required Qualifications*
- Bachelor's degree and 3+ years of experience in administration, academic advising, or student support, or an equivalent combination of education and experience.
- Demonstrated experience in project coordination, event planning, and data management.
- Strong interpersonal, written, and verbal communication skills with the ability to present content both in person and virtually.
- Proven ability to work collaboratively across teams while also managing responsibilities independently.
- Exceptional organizational skills, attention to detail, and ability to prioritize multiple tasks to meet deadlines.
- Proficiency in Google Workspace, Microsoft Office, Zoom (or equivalent platforms), and digital tools for scheduling, communication, and documentation.
Modes of Work

Additional Information
This position will require working during non-business hours and on weekends to attend occasional events.
