The Facilities Coordinator will report to the Facilities Manager, offering essential support for facilities and maintenance operations. The primary area of responsibility is for the Moore Building, with occasional support for Burton Tower, Dance, Stearns Building, Walgreen Drama Center (WDC), and Stamps Auditorium.

Responsibilities*

  • Perform daily inspection of the Moore building. Including classroom maintenance checks.
  • Monitor TeamDynamix facilities ticketing system daily and ensure tickets assigned are kept up to date.
  • Manage F&O work orders. Call in and / or submit work orders online to Facilities & Operations. Ensure all work orders are completed.
  • Work in collaboration with other SMTD departments and assist with facility needs for events including reserving and arranging tables, chairs and other equipment, typically working independently.
  • Assist with safety inspections and emergency response including as a member of the BIRT team.
  • Primary contact with Building Services. Coordinate custodial support for events as needed.
  • Assist with preparing office space for new hires and office moves.
  • Prepare Declaration of Surplus forms and schedule property disposition runs.
  • Process key requests. Including preparing key forms and picking up keys from U-M Key Office.
  • Order and stock basic office and kitchen supplies as needed. 
  • Provide primary coverage for Moore Information Desk. 
  • Liaison with delivery services (USPS, UPS, FedEx, Campus Mail) to accept and route mail and packages to recipients. Maintain mailboxes in the Moore building. 
  • Support the maintenance of student lockers and records in Moore.
  • Coordinate and / or assist with facilities projects. Including projects with AEC and Construction Services.
  • Work in collaboration with the Facilities Manager and rest of Facilities team to improve processes and procedures that will positively impact the School and this position.
  • Other duties as assigned.

Required Qualifications*

  • Currently a facilities coordinator or 2+ years work experience as a facilities assistant.
  • Demonstrated proficiency with Google Suite (Gmail, Drive, Sheets, Docs, and Forms).
  • Superior customer service skills and be comfortable working in a fast paced environment.
  • Must have excellent organizational and time management skills. Must be organized and have the ability to multi-task with competing demands/deadlines and have a positive attitude.
  • This position may involve traveling to various locations on campus to conduct business and deliver materials via University vehicle or University bus system. Agree to an annual U-M Motor Vehicle Record check.
  • Routinely moves boxes weighing up to 50 pounds across campus for various classroom and event needs.
  • Proven ability to use sound judgment and critical thinking while trying to find solutions to situations that arise suddenly. Ability to think clearly and solve problems quickly and efficiently.
  • Experience working effectively with different communities and cultures; experience working directly with faculty, staff and students.
  • Demonstrated ability to work collaboratively within a team environment and maintain positive relationships with colleagues.
  • Experience with TeamDynamix is preferred.
  • Experience with M Marketsite ordering is preferred.
  • Experience with Facilities & Operations AiM is preferred.

Work Schedule

Day shift, Monday - Friday. This position may require flex scheduling to support events. The duties are performed on-site and in person.

Underfill Statement

This position may be underfilled at a lower classification depending on the qualifications of the selected candidate. The posted salary is for the coordinator level. Assistant level salary will be determined by overall experience and qualifications.
