Job Summary

The University of Michigan College of Engineering is looking for an experienced Administrative Assistant for our project management team.  The individual holding this role will play a significant part in ensuring the smooth flow of our day-to-day operations while thriving in cross-functional collaboration, working with diverse teams of faculty, students, and staff at all levels within the college.

This position involves providing key administrative assistance to our project managers and business analysts, including but not limited to, coordinating meetings, engaging in light business analyst work, and contributing to project management processes. 

We are looking for a proficient multi-tasker with keen attention to detail and strong organizational skills. The ideal candidate will have knowledge of project management principles and practices and demonstrate the potential to take on more substantial project management tasks over time.

Responsibilities*

  • Assist project managers and business analysts with scheduling, organizing, and facilitating project team meetings, including teams comprising faculty, students, and staff across all levels of the college.
  • Contribute to light business analysis tasks as required, such as benchmarking and research. 
  • Aid project managers with tracking deliverables, communicating updates, and coordinating with various departments and stakeholders.
  • Provide necessary administrative support, including filing, data entry, document management, and other clerical tasks.
  • Assist in the preparation and maintenance of status reports
  • Assist in the maintenance in the PMT website
  • Ensure all key documentation and deliverables are appropriately maintained.

Skills You Have

You are an organized, self-motivated individual with excellent communication skills. Experienced in project management, you are adept at coordinating meetings, participating in business analysis tasks, and managing project deadlines and deliverables. Proficient in using tools like MS Office Suite, Zoom, Google Drive, and Doodle Polls, you bring a detail-oriented and proactive approach to problem-solving. You thrive in dynamic, fast-paced environments and are passionate about contributing to the field of education. 

Required Qualifications*

  • Associate's degree or equivalent work experience.
  • Relevant experience in an administrative capacity, preferably within a project management environment.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook), Zoom, Google Drive, Doodle Polls (or equivalent scheduling tools) and Adobe Acrobat.
  • Exceptional written and verbal communication skills.
  • Excellent organization, prioritization, and planning skills.
  • Ability to function effectively in a fast-paced, challenging environment.
  • Detail-oriented with a proactive approach to problem-solving.

Desired Qualifications*

  • Curiosity to work on the Project Management field
  • Knowledge of process mapping tools such as Lucid LucidChart
  • Knowledge of project management principles and practices.
  • Knowledge or experience working with Smartsheet.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

This position is temporary, approximately 30-40 hours per week
