Job Summary

The Section of General Surgery seeks an experienced Administrative Specialist Senior to lead and manage complex and high-stakes faculty affairs and human resource functions in a large, multifaceted surgical subspecialty. This position plays a central leadership role on the administrative team, supporting over 50 faculty and more than 200 staff members across multiple divisions. The role requires a high level of independence, deep domain expertise, and cross-functional coordination to ensure policy compliance, operational excellence, and faculty success.

Responsibilities*

FACULTY AFFAIRS DUTIES:

  • Lead end-to-end faculty appointment processes in compliance with Office of Faculty Affairs and Medical School protocols using the Meridian database.
  • Independently manage promotion packets and submissions through Meridian, ensuring accuracy, timeliness, and policy compliance.
  • Coordinate initial and biennial credentialing of 100+ providers (surgeons and APPs) using Symplr and Meridian; maintain documentation of licensure, certifications, and renewals.
  • Serve as primary liaison for international immigration filings (J-1, H-1B, green card), working directly with the MSISC portal and departmental faculty.
  • Prepare and process Visiting Scholar insurance payments using PeoplePay; ensure compliance with institutional and federal standards.
  • Collaborate with administrative support staff to execute structured onboarding checklists and orientation logistics for incoming faculty and clinical staff.

HUMAN RESOURCES AND WORKFORCE OPERATIONS:

  • Manage comprehensive HR actions using Wolverine Access systems including:
    • eRecruit: post, offer, hire staff, research fellows, student temps, and GSRAs.
    • PAR transactions: process changes in effort distribution, salary setting, additional pay, terminations, reclassifications, tuition reimbursement.
    • Effort Reporting: manage effort certifications and termination confirmations.
  • Maintain and audit official rosters for the Section of General Surgery.
  • Ensure I-9 compliance, serving as key department contact for audits and documentation.
  • Serve as designated Blue Folder liaison for hospital-funded staff including research labs and APPs.
  • Provide expert guidance to faculty on staff title classifications, job descriptions, and market comparisons; prepare documentation for reclassification and new role justification.
  • Submit and track requests to the Solutions Center for salary equity reviews, FMLA, maternity/parental leave, and ADA accommodations.
  • Oversee student employment actions in coordination with the Student Employment Office; manage work-study documentation and approvals.
  • Maintain and reconcile timekeeping lists in the Static Group system for all employees, approvers, and delegates.

SYSTEMS, ACCESS, AND DEPARTMENTAL LIAISON DUTIES:

  • Act as the department liaison for multiple institutional systems.
    • Cornerstone Learning System: assign and monitor MiChart and clinical compliance training.
    • ART (Level 2 Access Tool): submit and renew lab access for pre-hires and special populations.
    • MCommunity, OARS, Security/Key/ID Office, Paging System, Group Management Tool: manage access, credentials, and group communications.
    • EPCS Duo Enrollment: activate, troubleshoot, and update provider e-prescription authentication.
    • UPS CampusShip: process shipping forms.
    • Parking Office Exception Forms: process for non-employee clinicians and emeritus faculty.
  • Coordinate graduate student financial aid transactions via FAIT and Supported Award Entry.

Required Qualifications*

Bachelors degree or equivalent combination of education and 8+ years of progressively responsible administrative experience in a complex academic medical environment is preferred. Demonstrated excellence in HR coordination and experience with faculty hiring and promotion processes is required. Familiarity with Michigan Medicine systems (e.g., Meridian, Symplr, Wolverine Access, ART, Cornerstone) and policies is strongly preferred. Must exhibit exceptional attention to detail, initiative, and independent problem-solving capacity. Strong communication and mentoring skills are critical to success.

This position operates with substantial autonomy and decision-making authority. It requires evaluation of complex variables across administrative, regulatory, and technical domains. Work impacts clinical staffing, compliance, faculty recruitment, and the academic mission of the section.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
