Job Summary

The Research, Innovation, Scholarship, Education (RISE) program seeks an experienced Administrative Specialist to provide support to the executive and program directors. This position will partner with RISE faculty and staff in the administration of several initiatives including, but not limited to, the Innovator Development Program, Evaluation and Assessment team, and RISE Advise Consultation Service. The position requires a strong focus on teams, project management, and administrative efficiency and organization.

Responsibilities*

Provide high-level administrative support to Research, Innovation, Scholarship, Education (RISE)

  • Organize meetings: sending invitations, agenda planning, resource scheduling and coordination, taking minutes and following up on action items.
  • Manage RISE procurement activities: reconcile PCard charges and other expenses, process funding transfers, honoraria, payments, and travel reimbursements via Chrome River. Review and verify receipts and documentation to ensure compliance with university policies and procedures.
  • Manage calendar for RISE Executive Director.
  • Coordinate unit events (workshops, conferences, and social gatherings) including space, food and beverages, event inventory, AV, IT and facilities support and invited guest communications.
  • Prepare travel itineraries, make travel and hotel reservations.

Provide administrative support to the Evaluation & Assessment (E&A) team

  • Plan and organize weekly meetings: coordinate agenda, schedule/send invitations, coordinate and schedule required resource, apply enabling technologies and administrative acumen to document/track agenda items, following-up action items, and accountability timelines.
  • Develop, maintain and manage digital resources such as Google forms (application submission, evaluations, event sign-up, surveys, etc.), links across digital resources/forms, and apply systematic approach to organizing electronic files.
  • Update and maintain the E&A Standard Operating Procedures manual, project task lists and annual calendar.
  • Apply emerging and enabling technologies (GenAI) to improve system efficiencies related to report development and thematic summaries.

Provide administrative and faculty support to the Innovator Development Program

  • Develop and review policies and procedures, reports, presentations, and correspondence ensuring clarity and adherence to the goals of the Program.
  • Coordinate monthly workshops: compiling training materials, scheduling meeting spaces, arranging refreshments, communicating with invited guests, ordering supplies and remediation follow-up.
  • Schedule monthly 1:1 meetings with Innovators and the RISE Core Team. 
  • Monitor Innovators' progress toward receiving program certificates.
  • Organize and maintain electronic and physical training materials and individual reports.

Provide support to the RISE Advise Consultation Service

  • Respond to and coordinate consultation service requests; route to staff and leadership as appropriate
  • Monitor tracking tools related to consultation request, documenting outcomes in order to categorize and improve consistency across requests over time.

Required Qualifications*

Bachelor?s degree.
Two to four years of administrative experience. 
Polished organizational and problem-solving skills with an ability to manage competing priorities independently.
Adept at handling multiple needs from multiple people while meeting short- and long-term deadlines.
Proven ability to work with multiple stakeholders (e.g. faculty, students, and staff).
Experience using Microsoft, Google, and other applications/learning platforms such as Canvas, DropBox, Qualtrics.

Work Locations

RISE operates in a hybrid work environment consisting of both in-person and remote work. This position will be classified as a hybrid position. On-boarding and training will primarily take place in-person. Thereafter, the selected staff member will work a minimum of 2 days/week on-site and 3 days/week remotely. Employees are provided with a laptop, monitor, and related accessories. Office equipment such as desk, chair, and printer are not provided for remote work. Employees must provide their own reliable internet access for remote work.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
