Responsibilities*
Provide clinic operational support to the Pediatric Specialties ACU, Endocrinology and Adolescent Medicine Divisions in an ambulatory care clinic setting. Coordinate and facilitate communication between physicians, nurse providers, clinic personnel, and patients regarding issues relevant to the medical care. Assist in identifying and resolving clinic operational problems and help train new staff members on the clinical support operations. Individual must maintain an excellent rapport in person or via the telephone with patients, faculty, and staff, within a team setting. Participate fully in the Lean in Daily Work (LIDW) model of continuous quality improvement. Exceptional interpersonal skills and ability to work well within a team setting. Provide backup coverage for other PSI roles as identified by leadership.
- Correspond with Providers to obtain additional documentation and medical records from referring providers.
- Coordinate appointments for Psychologists with other departments such as Cancer Center, PT/OT, PMR and the MiPain Clinics.
- Mail any Special instructions to patients and families for upcoming appointments, including Intake questionnaires. Follow up on the return of questionnaires, by contacting patients and families. Mail Neuro Developmental packets at the time of scheduling new patient appointments and 10 days prior to return visit appointments.
- Maintain and keep inventory of patient packet documents. Order supplies needed for packets.
- Send out test measures for neuro-developmental, weight management, and MiPain. Track return of measures and questionnaires.
- Forward faculty communication to patients using the departmental email address.
- Contact patients and families to provide education regarding specific program commitments and details. Provide details regarding insurance benefits received from the referral coordinators.
- Provide families with outside resources for treatment if insurance is non-covered.
- Provide technical support to patients and families that are scheduled for virtual care services. Assist in troubleshooting technology to ensure patients are prepared for video visits.
- Check in-baskets and triage messages received from the patient portal.
- Completing FMLA, School notes, and etc. forms
- Scan urgent documents into MiChart for upcoming appointments.
- Follow red call processes for urgent referrals.
- Perform other related duties as assigned.

Required Qualifications*
- High School diploma or an equivalent combination of education and experience is necessary.
- 5+ years of experience within a large, complex healthcare system.
- Knowledge of basic medical terminology
- Demonstrated ability to lead a team or project.
- Experience facilitating and coordinating a patient's continuum of care, as well as Identifying and recommending appropriate resources available.
- Experience and proficiency in utilizing computer including standard business computing programs and EMR.
- Must have a solid knowledge of general office practices and ability to understand medical documentation, coding, and diagnosis.
- Strong interpersonal and communication skills are necessary.
- Demonstrated active listening, written, verbal and information technology skills.
- Ability to manage stress effectively.
- Demonstrated excellent attendance and reliability.
- Ability to work collaboratively and seamlessly as an integral member of the team.
- Track record of observing and executing patient confidentiality protocol.

Union Affiliation
This position is covered under the collective bargaining agreement between the U-M and the Service Employees International Union (SEIU), which contains and settles all matters with respect to wages, benefits, hours, and other terms and conditions of employment.
Background Screening
