Job Summary
The Office of Enrollment Management (OEM) at the University of Michigan is looking for a Senior HR/Administrative Assistant to join our team. This role plays a key part in supporting both the human resources function and the broader operational needs of the OEM administrative unit.
Reporting to the HR Director, the senior HR/administrative assistant will contribute to recruitment and selection efforts, coordinate onboarding and offboarding processes, initiate HR transactions, reconcile records, and address routine HR inquiries. This position supports the planning and execution of employee orientation, staff engagement, and professional development initiatives. The assistant will also provide administrative support to members of the OEM senior leadership team as necessary.
Success in this role requires a high level of adaptability, proactive problem-solving, and the ability to anticipate the needs of the HR team and others. This position will work onsite (in office) Monday through Friday, 8 a.m. to 5 p.m. to ensure front desk coverage and adequate support.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) manages U-M's enrollment function to efficiently optimize students' experiences throughout their engagement, from prospect to alumni. The division collaborates with campus partners, faculty, and staff in support of the university's mission.
OEM comprises a dedicated team of more than 200 full-time staff members and up to 400 additional student and temporary staff and is structured in five operational units - the Office of Undergraduate Admissions, the Office of Financial Aid, the Office of New Student Programs, the Office of the Registrar, and OEM Administration. OEM strives to provide excellence in access and support to inspiring learners who will challenge the present and enrich the future.
Responsibilities*
90% Human resources support
- Collaborate with search chairs and hiring managers to implement recruitment and selection processes. Create job postings, schedule interviews, develop candidate information packets and host candidates during on-campus visits.
- Process transactions for regular, student and non-student temporary hires; facilitate internal processes and partner to ensure successful on/offboarding of team members.
- Schedule and coordinate new employee welcome program sessions. Communicate with team members and follow up on training requirements. May co-facilitate sessions.
- Coordinate exit surveys and interviews; summarize data and create reports.
- Assist with employee communications by responding to routine questions on human resources policies and procedures, identifying potential issues and grievances.
- Assist with the development and implementation of staff engagement programs and new professional development activities.
- Participate in continuous process improvement efforts; utilize new technology and document best practices. May document procedures, create forms and checklists.
- Assist with other committees, projects and tasks as assigned.
10% Administrative support
- Serve as front desk assistant for the Vice Provost of Enrollment Management (VPEM) administrative suite; provide direct customer service to staff and campus visitors.
- Serve as backup to executive assistant for vice provost and provide support as needed.
- Provide administrative support to the HR Director and other senior leadership team members including but not limited to calendars, travel and project support.
- Order office supplies and maintain office/computer equipment (printers, copiers, etc.). Initiate tasks to resolve maintenance issues. May serve as facilities assistant.
- Review, handle and distribute incoming and outgoing mail.
Required Qualifications*
- Bachelor's degree or equivalent combination of education and experience.
- Four years of progressively responsible professional experience including human resources and administrative support.
- Considerable customer service experience and demonstrated knowledge in appropriately handling confidential and sensitive information.
- Possess a problem-solving attitude and a willingness to work successfully in a team environment.
- Proven experience working with multiple stakeholders, at all levels, plus exceptional interpersonal skills.
- Strong working knowledge of Microsoft Office products and Google applications.
- Working knowledge of Zoom or other video conferencing tools.
Desired Qualifications*
- Previous experience working in an academic or student services environment.
- Experience working in human resources at a large, complex organization.
- Experience with Oracle PeopleSoft HRMS and Business Objects.
