Job Summary
The University of Michigan is seeking a Supervisor- Campus Key Systems within Facilities & Operations - Maintenance - Central Shops. The successful candidate will oversee effective master key policies and systems and direct locksmithing operations for Campus and supported auxiliaries. This role acts as a subject matter expert for locks and locksmithing, participating in specification and design guideline development, new construction design reviews, physical security collaboration and policy development, and ultimately for implementation of each customer's key distribution and access control management. The successful candidate will demonstrate the pragmatism and good judgement required to carry out an audit-worthy program while adjusting to the ever-changing needs of the Campus community.
Responsibilities*
- Plan and develop institution-wide key systems with primary responsibility for the security (including high security lab areas upon unit/customer request) and integrity of the systems and management of the Key Office.
- Supervise Locksmiths who install, service and repair traditional and electronic key systems, doors and door hardware through highly-effective work order triage and management using Computerized Maintenance Management Systems (AiM).
- Supervise customer service representatives and utilization of Key Management Software to issue, track and collect physical keys. Ensure consistent use of the system to properly account for approximately 50,000 lockable doors, associated keys and hardware.
- Formalize key systems policy and procedures and educate/support customers through formal and informal collaboration and training. Develop, educate and maintain customer authorized approvers as the primary point of contact for the Key Office to maintain an auditable and controllable key issuance system. Develop customer key management plans where appropriate.
- Consult with Architects, Engineers, Facility Managers, Region Managers, and Asset Supervisors on solutions for door and hardware problems. Collaborate effectively with Architects, Engineers, Building Automation - Access Control Specialists, Facilities Call Center Reps, Region Managers and Asset Supervisors, and Program Managers to deliver a timely and solutions-based support model.
- Ensure new construction and renovations follow established design guidelines and master specifications through design review and collaboration with AEC. Specify electronic and mechanical hardware for projects as requested during scope development.
- Act as the Maintenance Services Lead for Design Guideline and Facilities Condition Assessment Programs related to doors and locking hardware associated with physical building access. Perform market research and attend training/conferences to stay up-to-date on industry trends.
- Coordinate with suppliers and Materials Services to ensure the inventory of door and hardware parts is sufficiently stocked to eliminate downtime and security issues.
- Participate in the development of budgets, departmental policies and procedures.
- Establish and carry out special approval and tracking processes for issuance of highly restricted keys.
- Assure compliance with safety programs and maintain an atmosphere focused on fair treatment, inclusion and accessibility.
- Respond to after-hour emergent needs as necessary.
Required Qualifications*
High school diploma or equivalent
Experience in positions of demonstrated responsibility within the field of locksmithing, key distribution, key management, card access control, & staff supervision.
Experience with the application of large institutional key control and building access policies, working closely with building constituents and the equivalent of a department of public safety or security/enforcement branch of an organization.
Demonstrable experience in design and layout of master keying and management of key code and key systems.
Experience with multiple vendor types of key/key control systems and software.
Ability to train staff in applications of key control, software, etc.
Must be willing to submit to and pass federal background checks as needed given the wide access possessed by the person in this position.
Must be able to fulfill the requirements to operate a UM vehicle.
Desired Qualifications*
At least five (5) years of experience in supervision, or in a similar leadership capacity.
ALOA security professional certification or similar professional locksmithing training or credentials. Must be prepared to provide any cited certifications.
Project management training or certifications.
Experience with access control systems and related software. Significant knowledge of the installation of card access systems in a multi-building-ownership setting.
Work Schedule
As an exempt position, flexible hours are as required, but typical hours are Monday through Friday from 7:00 am - 3:30 pm.
Incumbents must be available for consultation or call-in to address emergency situations arising during non-scheduled hours.
