Responsibilities*

The Program Coordinator has responsibility for the execution of logistics and customer service related to program support including: program registrations, answering phones and responding to email inquiries, and direct support for the Senior Youth & Adult Programs Manager and MPulse Program Manager.

Supervision Received: The Program Coordinator receives supervision from the Director of Engagement & Outreach and direction from the Program Managers. 

  • Serve as the initial point of contact between Engagement & Outreach Programs and current and prospective students, their families, and adult participants.
  • Receive and respond to inquiries from parents, students, and program participants over the phone and through email.
  • Maintain and implement processes that support admissions and registration for all Engagement & Outreach Programs (Michigan Youth Ensembles, Michigan Youth Performing Arts Pre-College, MPulse Summer Performing Arts Institutes, Voices Valiant Choir, Adult Summer Intensives, Jazz Ambassadors, MDance).
    • Process all participant enrollment 
    • Application database set-up, organization, and maintenance (Acceptd)
    • Track application payments, fees, and refunds
    • Roster reports and additional communication with faculty during application season
    • Financial aid preparation for review
    • Landing page and application creation and upkeep of deadlines, questions, other language 
    • Medical binder creation
    • Email list creation
    • Act as liaison for Acceptd Account Manager
  • Correspondences with faculty regarding application details.
  • Ensure optimal communication and coordination between managers and program participants.
  • Update and maintain SMTD website for all Youth & Adult Programs 
  • Cash handler and deposit preparer for Engagement & Outreach.
  • Support program recruitment, including working with teachers, schools and the Community Programs Manager.
  • Represent the University of Michigan School of Music, Theatre, & Dance Engagement & Outreach Programs in a professional manner. 

Required Qualifications*

  • A Bachelor's Degree and at least one year of office experience, or equivalent work experience in an office setting, familiarity of the arts industry helpful.
  • Must have exceptional written, verbal, and interpersonal communication skills.
  • Deliver excellent customer service. 
  • Exceptional organizational skills, have the ability to successfully manage multiple tasks within established and changing deadlines.
  • Demonstrate accuracy with attention to detail and follow-through.
  • Think creatively and always look for ways to improve
  • Meet deadlines through excellent time-management and multi-tasking skills.
  • Work independently with minimal supervision and as part of a dedicated team.
  • Proficiency in Mac, and Google cloud based environment and use of programs including Microsoft Office Suite, Social Media, Mail Chimp, Relational Databases, Acrobat and Acrobat Reader.
  • Experience working effectively with different communities and cultures; experience working directly with faculty, staff and students.
  • Be punctual and reliable as a team member.
  • Have the ability to work occasional evenings and weekends.
  • This position involves traveling to various locations across campus to conduct business and deliver materials.
  • This position routinely moves materials weighing up to 30 pounds across campus for various needs.

Work Schedule

This position requires occasional evening and weekend work. 

Modes of Work

This is a hybrid position. Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department.
