Job Summary

The Student Life Human Resources (SLHR) unit is part of the Division of Student Life at the University of Michigan. The unit provides the full employment life cycle of services to the 1500+ employees (professional and bargained-for), and approximately 3000 students and temporary staff within the Division.

Student Life Human Resources (SLHR) is looking for a process-driven HR Operations Specialist to join our collaborative and service-focused team, where you will support core HR transaction processing, process improvement, and training efforts across the division. The HR Operations Specialist will act as the team lead, overseeing and coordinating the team's workload to ensure efficient operations.

You will report to the Associate Director of HR Operations, and you will be an important member of the team supporting our full cycle of employment processes. This role is currently hybrid and requires some on-site work in Ann Arbor, Michigan.

Responsibilities*

Reporting to the Associate Director for SLHR Operations, the HR Operations Specialist will be responsible for:

  • Operational Coordination & Support
    • Coordinate and manage workload across the HR Operations team, with emphasis on cyclical work (e.g., start of semester hiring/job changes, Summer placements, etc.) and unexpected increases in volume
    • Serve as the primary point of contact for escalated issues and complex HR transactions, collaborating with HR Business Partners, unit leaders, and hiring managers.
    • Maintain and regularly update HR operations documentation and process maps to ensure alignment with current practices and policies.
    • Serve as the primary back-up for transactional processing during periods of high volume or team member absences.
  • Quality Assurance & Compliance
    • Collaborate with SLHR leadership to develop and implement an HR transaction audit plan to ensure accuracy, consistency, and adherence to policy.
    • Analyze audit outcomes to identify trends and train staff on areas for improvement.
    • Monitor HR service metrics and provide regular reports to inform process enhancements and service-level compliance.
  • Training & Team Development
    • Support the onboarding and training of new HR Operations team members, including developing documentation and job aids.
    • Provide ongoing coaching and mentoring to HR team members to support knowledge development and operational consistency.
  • Process Improvement & Optimization
    • Lead and participate in process improvement initiatives aimed at enhancing efficiency, service quality, and customer experience.
    • Partner with SLHR leadership to identify opportunities for streamlining and standardizing HR procedures across the division, utilizing TeamDynamix, when appropriate.
  • Systems & Technology
    • Support the transition and ongoing maintenance of HR transactional work in the TeamDynamix ticketing platform.
    • Serve as a subject matter expert for TeamDynamix within the Student Life HR Operations team and provide guidance to HR Business Partners and unit partners.

Required Qualifications*

  • Bachelor's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
  • Minimum 5 years of progressively responsible experience in human resources operations, shared services, or related HR/business areas.
  • Experience interpreting and applying HR policies and procedures in areas such as employment, benefits administration, training, and compliance.
  • Demonstrated customer service experience working with multiple stakeholder groups
  • Experience in training, coaching, and/or auditing transaction-related work to ensure accuracy and consistency
  • Minimum 1-2 years of direct or indirect supervision experience, or formal team leadership, focused on workload management, escalation, and resolution of cases from for the team
  • Proficiency in HR systems and tools (e.g., databases, case management systems, spreadsheets, reporting tools).
