Job Summary

The School of Dentistry is looking to recruit an Administrative Assistant Senior to join the Periodontics and Oral Medicine (POM) Department. You will report to the POM department Business Administrator. A hybrid schedule is a possibility in this position. The hybrid schedule will include four (4) days per week in the office at the School of Dentistry in Ann Arbor, Michigan. One (1) day per week working remotely after onboarding and training are completed.

Responsibilities*

  • Manage the department Chair's calendar, schedule meetings, and conferences
  • Coordinate faculty appointments, reappointments, and promotions; notify the Chair when due, schedule committee reviews, write correspondence, and communicate with the Faculty Affairs department to schedule documentation for Executive Committee meetings
  • Coordinate annual faculty reviews; obtain supporting documentation from faculty members, organize executive committee review, individual review meetings, and prepare documentation summaries for the Chair's meeting with the Dean
  • Coordinate clinical credentialing and international scholar processing and onboarding. Coordinate department events and continuing education courses, postgraduate and externship program support
  • Organize faculty meetings, prepare agendas, and schedule rooms. Order meeting supplies and meals as needed. Reconcile P-card transactions using Emburse Enterprise. Work with the Continuing Education department on departmental symposiums as needed
  • Work closely with the HR team to master the onboarding platform, Smartpath, for new hires, reappointments, and promotions
     

Required Qualifications*

  • Four years or more of progressively responsible office experience, preferably in an academic setting
  • Successful work experience supporting senior-level administrators with broad responsibilities in a large complex organization
  • Excellent interpersonal skills and an ability to work as a cooperative team member
  • Excellent written communication skills
  • Ability to exercise initiative, independent judgement, diplomacy, and a positive service-oriented attitude
  • Excellent ability to multitask by managing a large and varied workload with excellent attention to detail
  • Demonstrated proficiency with Microsoft Office products and Google Suite
  • Experience working in a diverse environment
  • Excellent organizational skills
  • Excellent attendance record
     

Desired Qualifications*

  • Bachelor's degree desired, but not required. Five years of administrative support experience
