Job Summary
The Administrative Assistant temp role provides administrative, logistical, and data support to the Voices Program and its Associate Director. This position ensures the efficient daily operation of the program through calendar management, correspondence preparation, and other administrative support tasks.
The Administrative Assistant temp position will support program events and meetings, from small Core Team gatherings to the large Annual Meeting, and managing data infrastructure and reporting to facilitate program evaluation and member engagement. This position will serve as a central point of contact, maintaining accuracy in records, logistics, and communications to enable the Voices Program to effectively meet its goals.
Responsibilities*
Administrative Support:
- Provide advanced administrative support for the Voices Program, including drafting, editing, and finalizing correspondence (reports, presentations, minutes).
- Serve as the primary contact for administrative and operational phone and email inquiries.
- Manage the complex calendar for the Associate Director, including scheduling, screening requests, and resolving conflicts.
- Coordinate events and meetings (in-person and virtual) for the Voices Program, managing logistics, agendas, meeting minutes, and attendee communications.
- Manage all financial documentation and process expense reports for the program in partnership with the Finance team.
- Maintain and update program-related email groups, internal documents, and membership databases.
- Manage the ordering and inventory of program supplies, equipment, and event-related materials ("swag").
- Participate in the program management team, prioritize workload, and perform miscellaneous duties as assigned.
Data Management and Reporting:
- Develop and manage surveys (e.g., Qualtrics) for program feedback and participant data.
- Analyze survey results and present findings to Voices leadership, ensuring data security and confidentiality.
- Create and maintain a consistent organizational infrastructure (e.g., Google Shared Drive, DropBox) for program data and reports, ensuring accessibility for team members.
Event Coordination:
- Support the coordination of large and small-scale events, including the Voices Annual Meeting.
- Manage all event logistics such as venue booking, catering, registration tracking, materials preparation, and vendor communication.
- Track event expenditures and assist in drafting and adhering to event budgets.
Required Qualifications*
- High school diploma
- 3+ years of related administrative experience
- Familiarity with business software such as Microsoft Office applications, and Google Suite.
- Ability to handle confidential and sensitive information.
Desired Qualifications*
- Familiarity with project management software such as Asana.
Work Locations
This role will initially be fully remote for at least 3 months, and potentially 2 days per week onsite beginning in late spring 2026. There may be occasional on-campus meetings.

Additional Information
This position is estimated to be at least 30 hours per week for at least 3 months, with the potential to extend up to 12 months. Work hours may be flexible and will be discussed with the hiring manager and successful candidate.
