Job Summary

The University of Michigan-Dearborn has an opportunity for a Graduate Advisor in the College of Business. This position reports to the Director, Graduate Enrollment and Success and works as part of a team with the Director and several other colleagues. The Graduate Advisor will independently coordinate and provide student services assistance that includes three main areas of responsibility: advising, student records, and graduate admission. The person in this role exercises considerable discretion and independent judgment and is capable of analyzing and resolving complex requests and issues. Currently, the position includes the opportunity for a hybrid work schedule after a probationary period.

Responsibilities*

Advising- 35%

  • Answer advising, student service, and admission questions in a variety of formats, including email, phone, and video; route questions or schedule appointments with other staff if needed.
  • Provide academic advising to current and prospective graduate students individually and in groups, both in-person and virtually
  • Provide coverage for ?front desk? duties remotely or in-person, as needed
  • Assist with periodic graduate admissions recruiting events (mainly virtual, occasionally in-person), including public communication and logistics.
  • Coordinate with advisors to send out initial course recommendations to newly admitted students
  • Assist in identifying and routing applications for admission review
     

Student Records - 35%

  • Track COB graduate scholarship recipients, including eligibility; submit scholarship award forms to Financial Services
  • Audit student admission records and assure fulfillment of admission conditions
  • Perform current student course prerequisite audits
  • Prepare and send to Registrar course waiver/exemption/transfer-credit and other forms; audit student records for accuracy
  • Assist students with registration and other records-related issues
  • Assist with grade and course posting issues
  • Assist with initial and final review of all degree candidates; verify eligibility to receive a degree
  • Assist with the Director and Registrar?s office with final transcript review of degree candidates
     

Graduate Admission - 25%

  • Perform initial evaluation of applicant resumes and transcripts to certify fulfillment of admission prerequisites, determine relevant work experience
  • Review documents and enter relevant admission information accurately into Salesforce or other systems
  • Initiate and manage communication with applicants to ensure submission of any required updates to application materials 
     

Other Duties - 5%

  • Serve on College or Universities committees as needed, such as Scholarships Committee, Staff Committee, or others
  • Manage office supply orders
  • Other duties as needed
     

Required Qualifications*

  • A bachelor's degree is required.
  • At least three years of experience with a strong record of reliability and accuracy in an office or similar setting.
  • Excellent judgment; ability to apply standards fairly, accurately, and consistently over time; ability to make an informed decision while working with ambiguity.
  • Ability to prioritize, manage, and complete multiple projects, work independently, and exercise initiative and judgment within established guidelines.
  • Demonstrated ability to manage detailed, multi-step processes from start to finish.
  • Excellent data management skills. High degree of proficiency with MS Excel, Google Sheets, and other applications. High degree of accuracy with data input.
  • Excellent written and verbal communication skills. Ability to respond professionally to a substantial volume of inquiries in various formats in a professional and timely manner.
  • Strong interpersonal skills. Demonstrated ability to work as part of a team and interact with the public.
     

Desired Qualifications*

  • Two or more years of experience in a university advising or admission office. Knowledge of university student services.
  • Experience with graduate academic advising.
  • Excellent written and verbal communication skills; ability to effectively respond to a substantial volume of email and telephone calls in a professional and timely manner. Experience providing direct customer service is preferred.
  • Master's degree desired.
  • Strong presentation and public-speaking skills.
  • Experience working with Salesforce, Ellucian (Banner), and WebFocus.
     

Modes of Work
