The Penny W. Stamps School of Art & Design is looking for an experienced temporary Administrative Assistant. The Assistant to the Director of the Stamps Visitors Programs and will help organize the Penny Stamps Speaker Series and Witt Visiting Artist programs. You will support the Director by managing administrative tasks, production calendars, and travel; overseeing social media and marketing needs; maintaining records; and helping facilitate online engagement with program guests. This is a short-term appointment lasting a maximum of 14 weeks, beginning early January 2026.

Responsibilities*

  • Plan, schedule, and publish weekly social media content; create recap posts and reels from event and backstage footage.
  • Coordinate livestreams in partnership with media outlets and support cross-platform collaborations with partner organizations.
  • Draft and prepare correspondence, reports, presentations, and other communication materials.
  • Maintain program databases, archives, photos, online filing systems, and public-facing content, ensuring accuracy and updates.
  • Manage phone/email inquiries and support data collection, tracking, and analysis for program needs.
  • Collaborate with the Director to develop and implement procedures for guest speaker logistics.
  • Be the primary contact for guests and manage all logistics, including travel, lodging, transportation, schedules, itineraries, agreements, and required forms.
  • Coordinate post-event receptions in agreement with the Director and program partners.
  • Support financial processes by preparing honoraria, vendor payments, budget updates, and monthly reconciliations.
  • Create promotional content, manage community listings and calls for proposals, and review event recordings for quality, edits, and promotional clips.
     

Required Qualifications*

  • Experience in a demanding administrative role
  • Proficiency in collaborative, cloud-based productivity applications (Google Apps, Microsoft 360, etc.)
  • Experience completing financial transactions (payments, reimbursements, and budgets)
  • Proficient in social media platforms (Facebook, X, Instagram, and TikTok)
  • Commitment to upholding privacy protocols
