Job Summary
The Senior Administrative Assistant serves as primary support for the Associate Dean for Faculty Affairs, managing the Associate Dean's calendar and related activities. You will initiate, organize, and track details for multiple projects of varying complexity. You will help orchestrate projects and manage diverse responsibilities. You must be able to develop partnerships with faculty and staff from across the school to support a collaborative environment. You will handle sensitive issues discreetly. You will report to the Chief Operating Officer and help orchestrate projects and manage many responsibilities.

Responsibilities*
- Exercise discretion to manage calendars and help prioritize commitments for the Associate Dean for Faculty Affairs and Chief Operating Officer. Plan for near-term and future activities and prepare the Associate Dean for special functions, receptions, and trainings.
- Organize and gather background information on upcoming projects and issues, summarize information understandably, and create efficient reviews for the Associate Dean for Faculty Affairs. Orchestrate projects and tasks for school committees/projects.
- Work with the Faculty Affairs Specialist and departments to review and obtain the Associate Dean's input on documents such as faculty offer letters and executive committee approval memos.
- Initiate and draft unique correspondence. Respond to inquiries or complaints from faculty and staff requiring interpretation of established procedures. Assess inquiries and direct them to the appropriate leadership within the school.
- Provide executive administrative support, as needed, including purchasing, travel, and hosting, maintaining supplies for the Dean's Office, and primary contact for service and repairs of office equipment.
- Provide backup support to the Dean's executive assistant.
Required Qualifications*
- An undergraduate degree and four years of administrative experience or an equivalent combination of education and experience.
- Experience using a combination of Google apps, Microsoft Office suite, Adobe Acrobat and/or project management tracking software.
- Proven ability to use discretion when dealing with sensitive information and a focus on customer service are necessary.
- Proven ability to work with individuals from diverse communities and cultures.
- Strong written and verbal communication skills, with the ability to communicate clearly, effectively, accurately, and concisely.
Modes of Work
This position is Hybrid, with a schedule of three days on-site and two days remote at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, for any reason, throughout the course of employment. Learn more about the work modes.
