Job Summary

The PFANS Business Systems Analyst Associate is responsible for providing operational and analytical support for departmental food service technology and business systems. This position supports the administration, maintenance, and optimization of the CBORD Food Service Suite; performs procurement, charging, and inventory-related system functions; and produces standard and ad hoc reports to support operational, financial, and compliance needs. The role works collaboratively with departmental staff, central U-M teams, and external vendors, and supports system updates, documentation, training, and business continuity activities.

Responsibilities*

Financial Support & Administration

  • Enter, review, and process departmental financial transactions?including charge entry in MiChart?ensuring compliance with internal controls and university policies.
  • Manage requisition workflows: submit, track, and reconcile departmental purchase order requests, and maintain detailed reporting to facilitate timely processing and budgetary stewardship.
  • Prepare and distribute scheduled and ad hoc reports, including monthly and quarterly purchasing, usage, and financial summaries, to inform operational, financial, and compliance decision-making.
  • Maintain and audit product catalogs, formulary items, and contract pricing, supporting strategic vendor relationships and formula procurement.
  • Perform regular audits of charging, procurement, and system activities to ensure accuracy and mitigate risk.
  • Research and resolve discrepancies related to financial and inventory charges, purchasing, and system data to support error-free financial operations.
  • Communicate with vendors and U-M central teams to resolve issues, ensure the accuracy of payments, and support timely invoice processing.

Application & System Management

  • Administer, update, and support the CBORD Food Service Suite to ensure seamless operation across purchasing, inventory management, production scheduling, and item maintenance.
  • Configure system parameters to meet evolving departmental needs, maintaining data integrity and adherence to best practices.
  • Enter and validate departmental data across multiple U-M business systems, supporting both daily operations and year-end financial reporting requirements.

Data Reporting & Analysis

  • Generate and analyze operational and financial data to identify trends, variances, and opportunities for process improvement.
  • Support compliance through robust, accurate data analysis and timely reporting for internal and external audits.

Inventory Management

  • Maintain inventory locations and system inventory worksheets within CBORD.
  • Support departmental inventory control and formula procurement processes.

Training, Documentation & Communication

  • Develop and update system documentation, workflow guides, and training resources, ensuring staff proficiency and ongoing operational continuity.
  • Provide system training and onboarding for departmental staff, and communicate system changes, compliance updates, and related requirements to unit leadership.
  • Serve as backup support for PFANS Systems Team duties to ensure uninterrupted service and operational resilience
     

Required Qualifications*

MINIMUM EDUCATION/ EXPERIENCE:

  • Bachelor?s degree in business, information technology, nutrition, dietetics, food service management, or related field, or an equivalent combination of education and relevant experience.
  • Experience using CBORD Food Service Management and Nutrition Services Suite.
  • Experience with MPathways or other enterprise financial systems.
     

Desired Qualifications*

  • Professional experience in healthcare, senior services, or large-scale food service operations.
  • Experience with MiChart or other electronic health record (EHR) systems.
  • Solid clerical or administrative background supporting operational, financial, or business system processes.
  • Experience in database management, including data entry and maintenance, supporting accurate reporting.
  • Excellent communication, organization, and interpersonal skills, with a track record of working collaboratively across clinical, administrative, and operational teams.
     

Work Schedule

40 hours

Monday-Friday

7:00am-3:30pm

This position may be filled using an FLSA exempt or non-exempt designation.

Background Screening
