Job Summary
Under general supervision, responsible for management, performance, and completion of moderate to complex projects:
- Responsible for assembling project team, assigning individual responsibilities, identifying appropriate resources needed, and developing detailed schedule to ensure timely completion of projects.
- Must be familiar with the project objectives, as well as the role and function of each team member to effectively coordinate the activities of the team.
- Communicates with the unit Director regarding status of specific projects.

Who We Are
The Data Office is a strategic unit within the University of Michigan Medical School's Office of Research which fills a known gap between U-M research community's data needs and the robust information systems containing clinical data. The Data Office is composed of 10 passionate, results-oriented, innovative, team members who serve more than 1,000 U-M researchers annually.
We are looking for a dynamic addition (working title: Operations Coordinator) to the team who will support our success by taking the lead in identifying gaps in our services, managing the data request intake process, serving as the financial coordinator, and helping to organize our growing book of business. Data for research has never been in such high demand, and we are no longer able to respond to this demand with high quality services in the absence of an Operations Coordinator.
Responsibilities*
JIRA Triage - 40%
- Assign and prioritize tickets submitted by research teams, oversee initial intake with requestor, update workflows as necessary
- Meet regularly with Director and Lead Data Analyst to address bottlenecks in data requests, opportunities for efficiencies, billable hour schedule
- SOP creation and maintenance
- Collect and report on actionable metrics: team productivity, trends in clinical departments and types of data being requested, etc. with the goal to target outreach and adjust our services as warranted
Financial - 25%
- Monthly: collate and submit billable hours to Finance; assist with expense reports; manage strategic investment funds for ADW; prepare Data Release fee report, liaison with FFMI on efforts to raise unrestricted dollars
- Annually: draft Recharge Rate paperwork; assist Director with budget prep
Office Support - 25%
- Schedule meetings, track mandatory trainings, staff vacation calendar, assist Director with HR requirements
- Maintain onboarding/offboarding documents

Administrative - 10%

Required Qualifications*
Bachelor's degree plus minimum of 3-5 years of relevant experience
Basic understanding of data used in research: HIPAA regulations, IRB processes, compliance/IA guide rails for data sharing, etc.
Proven track record of managing projects of varying complexity, including budget management and resource coordination.
Exceptional communication and interpersonal skills with a strong ability to collaborate effectively across diverse teams and stakeholders.
Strong analytical and problem-solving abilities, with keen attention to detail.
Demonstrated ability to work independently, manage multiple priorities, and meet deadlines.
Desired Qualifications*
Well versed in HIPAA and data governance
Experience with financial systems, budget cycle activities
Ability to anticipate the needs of DOCTR team and research community, and develop a plan to meet those needs.
