Job Summary

The Assistant Director of Graduate Programs reports to the Director of Graduate Programs. In addition to managing daily operations of the graduate admissions process through annual enrollment cycles, this role supports strategic initiatives in graduate enrollment management and student success for UM-Flint graduate programs throughout the enrollment funnel. This role ensures best practices and optimized processes are utilized to support a student-friendly application process, positive overall student experience, and accurate data management.

Responsibilities*

  • Manage and supervise graduate admissions operations staff (Regular and student/temporary), including employee selection, training, directing work, performance evaluation, and ongoing development. Maintain a supportive work environment that fosters teamwork, professional development, and growth.
  • Establish and coordinate the implementation of policies, workflow, procedures, and processes to improve overall service and communication with prospective students and applicants.
  • Oversee graduate admissions application process through the TargetX Application system and ensure documents and prepared files are processed and routed in a timely manner.
  • Provide counsel and direction to Graduate Programs, Enrollment Management, and academic/service unit partners to troubleshoot and resolve issues and problems, ensuring accuracy and outstanding service.
  • Manage transactional graduate program communication plans in TargetX and support the overall graduate communication plan, verifying that data from TargetX is pulling the correct audience.
  • Assure quality control of graduate programs data using Salesforce, Business Objects, Axiom, and DemandTools. Serve as lead tester for upgrades and system changes.
  • Contribute to forward-looking strategic matters related to Graduate Enrollment Management.
  • Review/update/create documentation and develop training for staff within Graduate Programs, and for Faculty Directors and others on review committees on admission operation policies, processes, and related technologies.
  • Serve as a resource on graduate-related policies and procedures to faculty/staff in the academic units and other central offices.
  • Represent Graduate Programs on internal committees, including the CRM Technical Advisory Group (TAG), Banner Implementation Committee.
  • Represent the Office of Graduate Studies to internal and external audiences in the absence of the Director of Graduate Programs.
  • Must maintain confidentiality, exercise discretion, and handle customers with diplomacy under stressful situations and in matters of a sensitive and confidential nature.
  • Planning, organizing, and coordinating a complex workload, using strong attention to detail and prioritizing, and meeting deadlines.

Required Qualifications*

  • Bachelor's degree.
  • 3 or more years of experience related to the job responsibilities.
  • Knowledge of the principles, practices, strategies, and tools of enrollment management.
  • Demonstrated supervisory and leadership experience, including the ability to effectively manage staff and promote a strong customer service orientation

Modes of Work

Hybrid

The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
