Job Summary
University of Michigan Health is seeking a highly skilled, proactive, and collaborative Executive Assistant Senior to support the Senior Vice-President and Chief Environmental, Social and Governance (ESG) Officer, the Sustainability Officer, and serve as a vital member of the Sustainability Team. This position plays an integral role in advancing the team?s strategic priorities through executive-level administrative support, communication coordination, project participation, and special event planning.
The ideal candidate is a polished professional with exceptional organizational and communication skills who thrives in a fast-paced environment, exercises sound judgment and discretion, and enjoys contributing to meaningful sustainability initiatives that support the Michigan Medicine mission.
This role requires a high degree of independence, initiative, confidentiality, and attention to detail, along with the ability to manage competing priorities while maintaining strong relationships across the organization.
Responsibilities*
- Provide advanced administrative support to the Senior Vice-President & Chief ESG Officer and the Sustainability Team, including management of complex calendars, appointments, meetings, travel itineraries, and related arrangements.
- Prepare and process Concur expense management reports and support procurement and payroll-related activities in compliance with university policies and procedures.
- Provides support for budget development, reconciliation, and tracking
- Assist with communication planning and draft professional correspondence, memoranda, reports, presentations, meeting materials, and other communications that convey the work and impact of the Sustainability Team.
- Serve as a contributing member of project teams by collecting, organizing, and maintaining data and supporting team initiatives and reporting efforts.
- Coordinate and participate in team meetings, agenda planning, leadership meetings, and follow-up activities to ensure timely completion of action items and deliverables.
- Prepare, distribute, and maintain meeting agendas, minutes, itineraries, and supporting documentation.
- Plan and execute a variety of special events and engagements.
- Exercise independent judgment in prioritizing executive and team needs, organizing background materials, monitoring deadlines, and ensuring timely follow-up on critical initiatives.
- Serve as a communication liaison with internal and external stakeholders while maintaining a high level of professionalism, sensitivity, and discretion.
- Maintain positive and collaborative working relationships with leaders, faculty, staff, and departments across Michigan Medicine and the university.
- Review and prioritize incoming communications and oversee maintenance of office records and filing systems.
Required Qualifications*
- Advanced knowledge of Michigan Medicine policies and procedures.
- Excellent written and verbal communication skills, including the ability to draft polished correspondence and presentation materials.
- High-level proficiency in Microsoft Office applications, particularly PowerPoint, along with strong overall computer skills.
- Demonstrated experience managing complex calendars, meetings, travel arrangements, and executive-level support responsibilities.
- Strong organizational skills with the ability to manage multiple priorities independently in a fast-paced environment.
- Experience completing Concur expense reports and supporting financial and administrative processes.
- Minimum of 5?10 years of experience supporting senior-level executives.
Modes of Work

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
