Job Summary
The Administrative Assistant for the Institute for Energy Solutions (IES) has the role of contributing to and supporting IES activities, including event planning and logistics as well as information dissemination. These important efforts will help support the work of the Institute Director, Associate Director, Program Manager, Research Specialist, and Steering Committee to enable existing and future energy programs and opportunities at the University of Michigan. The IES supports and expands University of Michigan expertise in energy systems, spanning all colleges, schools, and disciplines. Individuals are expected to come into the position with good interpersonal skills and the ability to quickly learn new administrative skills and systems, such as room booking, food booking and coordination, expense reporting, website updates, and information tracking.
Responsibilities*
Event & Program Support
- Support unit-led events by coordinating and executing logistical details in alignment with University and IES policies and standards
- Manage event logistics, including scheduling, travel arrangements, room reservations, vendor coordination, material preparation and dissemination, and guest registration
- Collaborate closely with unit staff to ensure seamless execution of events for students, faculty, staff, alumni, and external speakers
- Provide on-site or day-of-event support as needed to ensure successful delivery.
General Administrative Support
- Provide comprehensive administrative support to assigned units in alignment with University and IES standards
- Prepare and format documents, organize materials, enter data, and proofread correspondence and reports
- Coordinate complex meeting and event scheduling, including room reservation and calendar management
Assist with other administrative processes and special projects as needed to support Institute operations and priorities
Required Qualifications*
- High school diploma, or equivalent
- Ability to work independently
- Strong interpersonal skills and clear communication
- Demonstrated ability to communicate effectively with faculty, staff, and students with the ability to deliver consistent and clear messages to a diverse group with differing perspectives or roles in process
- Excellent organizational skills with proven ability to prioritize multiple responsibilities with careful attention to detail
- Skilled in Google and Microsoft Office platforms
Desired Qualifications*
- Bachelor's degree, or equivalent combination of education and experience
Prior experience in administration
- Eagerness to learn more about energy systems and technical familiarity on energy science and technologies
- High level of creativity and novel ideas on how to improve the quality of programs and efforts that the IES provides

Modes of Work
The Institute for Energy Solutions operates in a hybrid work environment consisting of both in-person and remote work. Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes here. The selected candidate will be required to be in-person for events to provide support.
Additional Information
This is a part-time (20 hours/week) term-limited regular staff position for one year, starting as soon as possible, with possible renewal.
Background Screening
