Job Summary

The Department of Materials Science & Engineering is seeking an administrative assistant.  This position will provide on-site administrative support which will include supporting select faculty, as well as providing support for events, workshops, travel, reimbursements, student transactions and other duties.

Responsibilities*

  • 40% Administrative support
    Plan and coordinate departmental meetings and events (e.g., graduate recruiting, graduation). Arrange catering, room reservations, Zoom, nametags, and materials. Book travel and process reimbursements for faculty, staff, and visitors. Provide general faculty support and reconcile PCard expenses.
  • 50% Research center administrative support (MRSEC, PRISMS, etc.)
    Coordinate center events, workshops, and conferences. For MRSEC: manage annual report tasks (survey creation, faculty follow-up, NSF formatting, appendices), support IRG meetings (refreshments), and organize events (Affiliates' Day, site visits, CSU visit, All-Hands, student lunches, CAMPS reimbursements).
    For PRISMS: coordinate workshop logistics (registration, travel, catering, hotel, poster sessions, reimbursements) and perform annual report data entry. Handle travel, reimbursements, and event logistics for center activities.
  • 10% HR-related administrative support
    Process PARs (DBEs, effort changes, new appointments) and manage student temporary appointments.

Required Qualifications*

  • Graduation from a college or university with a bachelor's degree or an equivalent combination of education and experience. 
  • Candidate should possess a high level of skill in written and verbal communication, organization and planning, attention to detail.
  • Considerable customer service experience and demonstrated knowledge in appropriately handling confidential and sensitive information.

Desired Qualifications*

  • Possess a problem-solving attitude and a willingness to work successfully in a team environment.
  • Proven experience working with multiple stakeholders, at all levels, with demonstrated exceptional interpersonal skills.
  • Experience with organizing and/or setting up research and academic workshops and events.
  • Strong working knowledge of Microsoft Office products and Google applications.
