Job Summary

Electrical and Computer Engineering (ECE) has an opening for an Administrative Assistant to work as a core member of the support staff for a subset of faculty and a single research group by overseeing the daily functions of the assigned lab within the ECE division of the Department of Electrical Engineering and Computer Science (EECS). The selected candidate will coordinate the work resulting from research activities that are conducted in Physics and EECS, including working with a large number of students and post-doctoral researchers, government and industry program managers, and visitors.

Responsibilities*

  • Weekly tracking and reporting of outstanding and pending items in all areas of the research operation.
  • Scheduling frequent complex multi-destination domestic and international travel itineraries, and accurately preparing and tracking the reimbursement process following established University policies and procedures.
  • Initiating and tracking all purchases and interacting with contractors and vendors.
  • Maintain a highly organized filing system of project materials, including reports, publications, and personnel files.
  • Manage calendars and other regular admin support required by the group.
  • Manage research publications and books in production.
  • Manage a large patent portfolio, including interacting with attorney offices within and external to the University.
  • Submit and track personnel appointments.
  • Support the research manager by performing, as necessary, a variety of financial functions for the research group, including preparing journal entries, investigating/resolving erroneous or questionable expenditures and analyzing expenditure data.
  • Coordinate with ECE HR and lab manager on HR requests and personnel appointments.
  • Collaborate with department in processing honors and awards
  • Arrange hosted meetings, events, visitor schedules, and/or conference calls. 
  • Other administrative tasks and projects as assigned.
     

Required Qualifications*

  • Bachelor's degree or equivalent combination of education and experience. 
  • Three to five years progressively responsible administrative and financial support experience in an academic environment. 
  • Prior experience with Enterprise software, such as M-Pathways. P-Card and travel reconciliation experience and knowledge.
  • Considerable knowledge of University policies and procedures. 
  • Familiarity with grants and contracts and personnel issues. 
  • Ability to manage multiple tasks simultaneously. 
  • Ability to work independently with initiative, as well as a member of a team. 
  • Ability to exercise judgement in meeting deadlines. 
  • Ability to work under pressure and deal with sensitive and confidential matters. 
  • Strong interpersonal, organizational and problem solving skills.
  • Strong communication skills with the ability to convey information clearly and effectively in various formats.
