Job Summary
The Events Coordinator will join the Operations & Events area to plan and implement events. These events span from small meetings to large-scale, annual campus-wide orientations. This position requires one to independently and collaboratively plan, organize, and track details for multiple events of varying complexity using the highest standards of excellence, in addition to having strong attention to detail and dedication to customer service. The successful candidate will report directly to the Director of Operations & Events and collaborate closely with other CRLT staff members.
What You'll Do
- Manage and coordinate logistics for numerous online and in-person events and meetings ranging in size and complexity. This includes developing and managing timelines, interacting with meeting participants, composing emails, taking notes, entering data, managing guest lists, tracking responses, coordinating calendars and travel schedules, identifying and reserving conference/meeting rooms, arranging catering services, preparing event materials, troubleshooting audio/visual system problems, providing on-site event support, providing online event support (Zoom), preparing internal staff agendas, maintaining event-related budgets, reconciling financial transactions (P-cards, shortcodes), and following all CRLT post-event processes.
- Assist the Director of Operations and Events with various office tasks, including maintenance of CRLT's event binders, policies and procedures manuals, and other projects as needed.
- Participate in professional development activities, initiatives, cross-center teams, working groups, and/or committees.
- Performing additional duties as assigned.
Required Qualifications*
- Experience coordinating and organizing events, including liaising with venues and vendors, managing communication with guests and stakeholders, organizing timelines, and planning and implementing day-of-event logistics for both virtual and in-person modalities.
- Knowledge and working experience with Microsoft Office Suite and Google Suite.
- Experience using virtual platforms (e.g., Zoom, Google Hangout) for meetings and events, and a willingness to explore and learn new technologies.
- Capability of regularly transporting and handling items up to 30 pounds, with frequent movement, must be able to remain in a stationary position during the entire shift, and the ability to move extensively throughout the office and event venues as needed.

Work Schedule
Monday through Friday from 8:00am to 5:00pm (40 hours per week). May also include overtime with occasional earlier mornings, later evenings, and weekend responsibilities.
This position involves a combination of remote and in-person work. In-person presence is required for one shared in-office day with area colleagues and as job duties demand. Pragmatically, this means that staff in this position will work in-person between one and five days a week. Positions that are eligible for hybrid work mode are at the discretion of the hiring department.
