Responsibilities*

Phone Management/Scheduling

  • Answer incoming phone calls and respond to patient inquiries related to student clinic appointments, services, and availability.
  • Schedule, reschedule, and cancel patient appointments based on clinic availability and dental student schedules.
  • Assist with outbound calls for appointment reminders, follow-ups, or waitlist management.
  • Accurately enter and update patient and appointment information in the scheduling system.

Student Support

  • Coordinate with student providers, and clinic administrators to ensure proper appointment alignment and case assignments.
  • Provide general information about the dental clinic's services and the student provider process.

Administrative/Customer Service

  • Follow HIPAA guidelines to maintain patient confidentiality and data security.
  • Identify and escalate complex issues to the appropriate supervisor or department.
  • Maintain a courteous, professional demeanor with all patients and internal stakeholders.

Required Qualifications*

  • Graduation from High School or equivalent combination of education and experience
  • Experience in scheduling in a medical or dental healthcare environment.
  • Experience in entering patient information in an electronic health information system. 
  • Provide excellent customer service and respond to patient concerns professionally.

Additional Information

We are committed to maintaining a safe and healthy work environment for everyone. As part of the onboarding process, all candidates are required to submit their immunization records to Occupational Health Services (OHS) prior to their appointment start date to verify their immunization status. The process includes completing a two-step TB test for all new hires and providing proof of Hepatitis B immunization for clinic-facing roles. Additional immunizations may be necessary based on public health guidance or specific job responsibilities.

The University of Michigan conducts background checks on all job candidates upon acceptance of a contingent offer and may use a third party administrator to conduct background checks.  Background checks are performed in compliance with the Fair Credit Reporting Act.
