Job Summary
The Back and Pain Center in the Department of Anesthesiology is seeking an experienced, positive, highly motivated, organized person with excellent multi-tasking ability and record keeping skills to join our team. Must have exceptional written and verbal interpersonal communication skills. Demonstrated experience delivering excellent customer service. Strong organizational skills and the ability to successfully complete multiple tasks within established and changing deadlines are required. Attention to detail, follow-through and time management skills are necessary. Must be able to work independently with minimal supervision and as part of a dedicated team. Ideal candidate will have experience working in a team-oriented atmosphere and can manage a fast-paced work environment with the ability to promote professional relationships within a team environment. Associate Level- Must be proficient in use of MiChart.
Responsibilities*
- Initiate and follow up on benefit check for patient care and authorizations along with Medication Prior Authorizations.
- Review Daily Schedule (DAR) for any patients who need to sign waivers (agreement to pay or ABN for Medicare), pre-pay or need to discuss financial concerns.
- Run Charge Reconciliation Reports within MiChart and the UMHS Data systems. Utilize these reports to audit and reconcile clinic visits and procedure activity to ensure billing accuracy.
- Review documentation to assure proper billing. If billed, verify it is billed correctly. If not billed, conducts research to determine reasons and follows up with providers if there are documentation issues or billing entry gaps.
- Reconcile/resolve documentation and billing entry discrepancies for items in charge capture work queues. Also, assists providers by answering questions regarding documentation and billing entries while providing feedback related to common billing errors.
- Act as a liaison with the coding & billing team to investigate anomalies, correct deficiencies and post all charges.
- Coordinate peer-to-peer reviews, draft appeal letters and complete forms necessary for denied services.
- Partner with the Referral Coordinators to coordinate and facilitate communications between primary care physicians, managed care plans, clinic personnel and patients regarding authorization for service, medication prior authorizations and other insurance inquiries.
- Run various MiChart and clinical activity reports and collate data for operational analysis and decisions.
- Participate in, record minutes, and/or lead team huddles and clinical team meetings.
- Assist with maintaining MiChart In-Basket items, fax server, referral queues, and letters for no-show and discharges.
- Maintain responsibility for MiChart grids - Template editor, including provider template submission, closings & changes.
- Coordinate faculty schedules and support complex care coordination and patient care scheduling across departments.
- Maintain up to date and detailed scheduling requirements for provider templates.
- Enact service recovery with difficult customers and/or situations requiring in-depth knowledge of the organization?s products/services partnering with the Office of Patient Relations/Clinical Risk as needed.
- Provide backup coverage for Patient Services Assistant, Associate and Intermediate roles.
- Assist in onboarding new team members, providing resources to facilitate the learning of position.
- Serve as mentor for Patient Services Assistants and Associates.
- Reconcile the clinic deposit and complete additional tasks related to this process on a daily basis and notify appropriate personnel when discrepancies are found.

Required Qualifications*
- Graduation from high school or an equivalent combination of education and experience.
Minimum 3 years of experience
Desired Qualifications*
- 3 or more years of customer service experience within a medical environment
- Two years of clerical experience in a medial office setting.
- Knowledge of MiChart reports and ability to problem solve using large amounts of data.
- Experience in manipulating large data sets using Microsoft Excel or similar programs.
- Knowledge of University policies and procedures.
- Experience in Referral Coordination, prior authorizations or medical service billing.
- Experience working with MiChart.
- Familiar with MiChart work queues.
Experience working in a health care setting.
- Ability to multitask and prioritize work appropriately is essential.
- Ability to accurately receive and relay information over the telephone and through written documentation.
- Great investigative skills and strong attention to detail, particularly to numbers.
- Ability to accept direction from multiple sources and remain adaptable to rapid changes in work environment.
- Excellent organizational and analytical skills.
- Excellent verbal and written communication skills.
- One year customer service experience, preferably within a medical care environment.
- Solid typing/keyboard skills (minimum typing speed of 50 wpm).

Work Schedule
This is a full-time position; Mondy - Friday; shift hours are from 8am ? 4:30pm (shift hours could potentially change based on the operational needs and required meetings).
Work Locations
The position is located in the Back & Pain Center located at the Burlington Building (325 East Eisenhower Parkway; Suite 310, Ann Arbor MI 48108).
