Job Summary
Medical School Facilities is seeking an Events Coordinator who will work with a variety of departments and units across Michigan Medicine in support of their event coordination needs. Medical School Facilities manages three primary event venues located within the Taubman Biomedical Sciences Research Building, the Towsley Center for Continuing Medical Education, and the North Campus Research Complex.
The Events Coordinator is expected to provide excellent customer service by responding to emails and online requests in a timely fashion, providing information and resources to support the event, working with external vendors as applicable, and acting as a single point of contact during the event to ensure a quality outcome.
Responsibilities*
Assists customers in making arrangements for special events held within the Medical School space per event guidelines and ensures protocols are followed.
Serves as an on-site resource and a single point of contact for customers during events.
Maintain/update events calendar in coordination with special events team members.
Prepares project plans and maintains records, advises departments, and ensures regulatory compliance related to special events.
Administers special projects or activities related to event coordination on an as-needed basis within the Medical School space.
Assists team members in the planning and execution of logistics for events and acts as back-up as needed. Provides periodic review and updates of guidelines as necessary.
Discover and utilize the best process strategies.
Assist with special projects as needed.
Monitor/ assign event requests and manage the notes log via internal ticketing software.
Monitor and approve scheduling requests in the event/meeting space
Reserve space in our booking software system
Position is for on-site work. Remote work is not offered in this position
Required Qualifications*
Minimum 2 years of event management, event setup/vendor collaboration required
Ability to arrive at 7 am for event work
Flexible work schedule, with standard business hours required daily, Monday - Friday
Ability to work nights and weekends as needed
Proven experience with Microsoft Office, with a specific focus on Outlook and Excel, PDF creation, and Adobe Illustrator
Desired Qualifications*
Knowledge of the Medical school facilities, operations, and campus
Proven ability to problem-solve and make independent decisions
User of hybrid meeting technology, i.e., Microsoft Teams, Zoom, etc.

Work Locations
This position supports operations in all buildings the medical school occupies across nearly four million square feet. There is an expectation that some on-site presence is required.
