Position Summary:
The Fraternity & Sorority Life Administrative Assistant will provide support to Fraternity & Sorority Life, its partners, and stakeholders by maintaining statistical records via database maintenance, producing detail-oriented reports, assisting with the assessment of programs through data, and analyzing processes for efficiency. This person will also provide general administrative support to the Associate Dean of Students & Director, as well as to office programs and initiatives. Fraternity & Sorority Life is looking for a self-motivated and organized individual who can assist with the mission of the unit.
Responsibilities*
Administrative (60%)
- Maintain the existing 6,000 student membership database, including communicating with chapters regarding ongoing updates
- Provide updates to the membership database manual as needed.
- Maintain records of alumni, chapter officers, and chapter volunteers for fraternity and sorority chapters that are and/or have been established at the University of Michigan.
- Process chapter academic report requests, adhering to FERPA guidelines and in line with the unit's standard practices
- Maintain records of individual participation in FSL programming, including contact information, attendance at events, and studying abroad
- Assist with Recruitment and Intake eligibility verification process and record-keeping throughout the academic year, especially during primary joining periods (Bid Days, Primary Recruitment periods, & Membership Intake Processes)
- Manage requests for use of space in 1443 Washtenaw building and on the front lawn of the building in conjunction with UM Outdoor Events Office, including tracking catering, technology needs, and any other associated setup needs.
- Track and report the statuses of student organization re-registration through the Center for Campus Involvement's student organization database
Reporting and Assessment (30%)
- Utilize data to provide statistical reporting to staff and stakeholders regarding the total number of members, size of chapters, trends for 1st-year and 2nd-year students, number of programs, and grade point averages of members
- Assist the Community Standards and Leadership Development Manager with data collection in support of the Achievement Expectations Program
- Provide timely membership and chapter data updates for Student Life Development in order to support FSL overall development efforts
- Review processes for collecting and maintaining data in order to suggest updates and increase efficiency
Customer Service (10%)
- Respond to external and internal stakeholders requests for information
- Provide support for front desk operations as needed
- Provide general office support as needed
- Assist staff with community-wide program events, including nighttime and weekend events
Other duties as assigned by the Associate Dean/Director, the Associate Director, or the Administrative Assistant Senior
Required Qualifications*
- High School Diploma or equivalent
- Experience in maintaining records and databases, and using related software such as the Google Suite
- Excellent organizational skills, close attention to detail, ability to prioritize multiple projects, manage changing priorities, and handle confidential material securely

Selected candidates whose start date is 4/1/2026 or after, will not be eligible for the university FY26-27 salary/merit plan unless otherwise notified.
Salary may vary depending on qualifications, experience, and education of the selected candidate.

Working Conditions:
Standard Office hours: Monday - Friday, 9:00 am to 5:00 pm. Position requires the ability to flex schedule during specific times of the year to allow for assisting with minimal nighttime and weekend events/programs. It also requires most working days onsite in order to assist in the administration of the office operations, with some flexibility for hybrid work one day per week during the standard academic year and more flexibility during summer.
Physical Requirements:
Position requires the ability to ascend/descend stairs to the designated workspace and for departmental meetings. The building in which this position is located does not have an elevator. Occasionally, travel throughout campus for meetings and events. Ability to routinely move and/or transport up to 25 lbs.
