The Assistant to the School Registrar (Student Admin Asst Intermediate) at the University of Michigan School of Dentistry plays a vital role in supporting students, faculty, and staff. Responsibilities*

Office and Commencement Support

- Receives and responds to telephone, fax and email inquiries regarding student records and enrollment.

- Compose, edit and send routine correspondence following established guidelines. 

- Point-of-contact for all DDS and graduate specialty program registrar walk-in traffic, responds to student, staff and faculty inquiries in a courteous and professional manner.

- Maintains and files student record information. Maintains textbook lists in M-Pathways. Works with confidential student information.

- Maintains student record database. Works with the School Registrar on a student record scanning project.

- Provides support in the planning and coordination of the school's commencement activities.

- Write, edit and update department website information and position handbook. Prepare reports. Contact for Xerox regarding all copier supplies and issues. 

Room Scheduling 

- Point-of-contact for centralized classroom and conference room scheduling in the School of Dentistry (SoD). 

- Using M-Pathways, schedules all meeting, conference and classroom space used in the School, including all Dental Hygiene, DDS, and graduate courses.

- Communicate room scheduling policies and procedures to SoD Room Scheduling group and school. Respond to room requests from other units on campus. Resolve any room disputes.

- Responsible for working with units within SoD to monitor room usage to maintain optimal usage of classroom space. Prepare reports on utilization and trends using M-Pathways and Business Objects.

Graduate Specialty Program support 

- Function as Curriculum Maintainer for the graduate specialty programs.

- Communicate with graduate program directors, staff and the Admissions Director to gather, organize and update the graduate program curriculum every semester. 

- Regularly run reports to monitor missing grades for graduate students. 

- Using DropBox, provide student progress information to programs.

- Monitor graduation documents for students, collect and obtain signatures on required documents, and process internal student records for paper and electronic filing.

- Point-of-contact for graduate registrar email, and student requests. 

- Assist with reports related to enrollment and projections. Assist Admissions Director with graduate student services projects as assigned.

Course Evaluations 

- Point of contact for faculty and staff within the DDS, Graduate and Dental Hygiene programs regarding Course Evaluations. Respond to faculty requests.

- Order Course Evaluations and run reports.

- Coordinate transition to new course evaluation system.

Other duties include: 

- Assisting with a full range of office support services related to the daily operations of the School Registrar, including, a variety of customer service transactions related to students participating in or applying to educational programs or externships. 

- Assist with F1 visa requests as needed for the dental post graduate programs.

- Contributes assistance in the development and performance of additional projects to enhance or develop course evaluations, student records and attainment of accreditation standards. Provide support as needed for department events. Provide administrative support or other duties as assigned.

Required Qualifications*

- An Associate's degree or an equivalent combination of education and work experience.

- 2+ years of recent administrative work with experience in higher education in either a university, college or hospital setting. 

- Experience providing high-quality customer service to communicate with individuals at all levels within the school's organizational structure.

- Excellent demonstrated writing and editing skills, verbal and interpersonal communication skills, superb attention to detail; ability to work independently, excellent attendance record.

- Proficiency using Microsoft Suite and/or Google applications. Candidates must have amazing customer service skills and be proficient with word processing and spreadsheet programs. 

- Excellent organizational skills including experience with organizing data in Excel or Google sheets.

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Work Schedule

Monday - Friday, 8:00am-5:00pm. Occasional weekend and/or morning or evening hours may be required for certain events. This position may be eligible for some flexible work opportunities at the discretion of the hiring department. During the first 4 months of onboarding, an onsite schedule is required. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department.
