Job Summary
The Department of Human Genetics at the University of Michigan Medical School is seeking a Temporary Administrative Assistant. Due to a recent restructuring of staff responsibilities, the Department requires temporary administrative support to ensure seamless operations as staff members transition and develop in their new roles.
This position is limited to 1 year, with the intention that the responsibilities associated with this position would transition to existing staff or (in limited cases, a student temp) at the end of this period.
This position reports to the Chief Department Administrator, but will partner significantly with our Marketing and Communications Specialist, our Executive Assistant, our Student Affairs Program Manager, and our Purchasing Clerk and Facilities Assistant.
Responsibilities*
General Administrative Assistance
- Provide front office support by answering phones, receiving packages, and welcoming guests
- Distribute mail and maintain mailboxes for faculty, students, staff, postdocs, and labs
- Update student award placards and other such items
- Prepare and distribute gift and recognition letters
- Act as the primary contact for reserving conference rooms, as needed
- Reconcile Emburse reports and process TBHER reimbursement requests
- Maintain cleanliness and organization of the office suite
- Attend administrative team meetings and take meeting minutes
- Perform other duties as assigned
Purchasing Assistance
- Provide purchasing back-up support for M-Marketsite orders, in support of Purchasing Clerk and Facilities Assistant and Executive Assistant, who serves as primary purchasing back-up
- Imaging of purchase documentation for record retention
Event Assistance
- Support events by coordinating set-up and clean-up, escorting visiting speakers and faculty candidates, and assisting with additional event-related activities as needed
Marketing and Communications Assistance
- Support the Marketing and Communications Specialist as needed by updating event listings, maintaining the alumni database, and assisting with additional communications activities
- Manage, maintain, and track resource computers and peripherals available for individuals to borrow
Organizing Spaces
- Assist with organizing and cleaning shared spaces, including our storage rooms, copy room, and various other spaces
- Arrange for disposal of unneeded items in partnership with the Purchasing Clerk
Required Qualifications*
- Bachelor's degree or an equivalent combination of education and experience
- One or more years of experience, some in a professional office setting
- Excellent written and verbal communication skills
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and Google Workspace
- Ability to learn new software and business processes quickly
- Ability to work independently and collaboratively as part of a team
- Excellent organizational skills, accuracy, and attention to detail
- Able to adapt to interruptions and accept work from multiple team members
- Excellent interpersonal skills and ability to partner effectively with a diverse range of stakeholders
- Demonstrated professionalism, reliability, flexibility, and commitment to excellent service
Desired Qualifications*
- Website editing experience, including experience with Drupal, Google Sites, or other website editing software

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.
Work Schedule
Standard work hours are Monday thru Friday during regular business hours. We expect hours worked to begin at 40 per week through the Winter semester, then gradually decrease as we intentionally transition responsibilities to existing staff before the 1-year mark.

Due to the nature of the work in this position, we are seeking an enthusiastic and dedicated Temporary Administrative Assistant to join our Administrative Team at our Ann Arbor Medical School offices, working fully on-site.
