Job Summary

The Adventure Leadership Operations Assistant provides dedicated operational and financial administrative support for Adventure Leadership programs, rentals, memberships, trainings, and external partnerships. This position supports compliant and sustainable financial processes while improving workflow consistency, client communication, purchasing coordination, and administrative accountability.

The Operations Assistant serves as a centralized support role for billing workflows, refunds, registration adjustments, purchasing, event administration, and financial documentation. This role reduces inappropriate reliance on student staff for financial operations and helps ensure department-approved procedures are followed consistently across Adventure Leadership business lines.
 

Responsibilities*

  • Coordinate refund and cancellation requests from initiation through processing and documentation.
  • Support Fusion billing, account setup, deposits, invoices, and billing-card-on-file procedures.
  • Track outstanding balances and assist professional staff with billing follow-up and reconciliation coordination.
  • Submit and track Marketsite+ purchasing requests and maintain purchasing documentation.
  • Support event contract administration and client pipeline for external groups and university partners.
  • Process approved registration adjustments, transfers, and participant communication updates.
  • Maintain financial tracking logs for invoices, shortcode exchanges, and operational documentation.
  • Coordinate student debit card delivery and receipt organization.
  • Assist with audit readiness, documentation organization, and operational reporting.
  • Maintain consistent administrative procedures across Adventure Leadership programs, rentals, certifications, and passes.
  • Support client communication related to billing, registration, scheduling, and operational questions
     

Required Qualifications*

  • High school diploma or equivalent
  • Prior administrative experience, including strong organizational and administrative skills.
  • Experience managing multiple workflows and operational priorities simultaneously.
  • Attention to detail and ability to maintain accurate documentation.
  • Strong communication and customer service skills.
  • Ability to handle sensitive financial and operational information professionally.
  • Experience with spreadsheets, scheduling systems, and office software.
  • Current authorization to work in the United States
     

Modes of Work

Additional Information

This role may have reporting obligations under Title IX and Clery.

Selected candidates whose start date is 4/1/2026 or after, will not be eligible for the university FY26-27 salary/merit plan unless otherwise notified.

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Working conditions

  • Schedule may vary based on operational demand and seasonal workload. Estimated 20 hours per week.
  • Hybrid administrative environment including office, program, and operational support settings.
  • Some evening or weekend availability may occasionally be required during peak operational periods.

Physical requirements

This role primarily involves administrative and operational support tasks. Candidates should be comfortable moving between office and program support environments and occasionally transporting or organizing materials weighing up to 25 pounds.

Starting Pay

$22.00-$26.00/hour (commensurate with experience)
