Job Summary
The Camp Administrator & Event Manager reports to the Director of Operations & Event Management and will support the overall efforts of achieving our goal of 'Exceptional Experiences for Every Guest.' This position will be responsible for the oversight, direction, supervision, and support of athletic camp and clinic operations at the University of Michigan, which includes coordinating and directing the individual summer camps and academic year clinics run by the coaches as well as developing monitoring procedures to ensure camps/clinics are operating safely and effectively. The Camp Administrator & Event Manager will be responsible for all aspects related to Event Management of assigned sports and will support various functions related to select programs within Michigan Athletics and hosted intercollegiate athletic events. This position works closely and in collaboration with the entire Operations & Event Management Team to ensure the accurate, efficient, and timely handling of information.
Responsibilities*
- Essential Functions - Camps & Clinics
- In conjunction with Compliance and Audit Services, conduct regular checks on sports camps/clinics and develop an annual oversight plan for an in-depth review of identified areas of focus to monitor operations; determine camps/clinics best practices and verify if established University policies are being followed.
- Ensure adherence to appropriate UM and UMAD polices in regards to facility usage, risk management, minors on campus and other relevant policies and procedures by coaches and camp/clinic directors & staff.
- Organize submitted team and coach camp/clinic schedule requests. Approve and delegate camp/clinic schedules for both facilities and housing needs.
- Serve as a liaison with other University units that support summer camps (and academic year clinics, when appropriate) - including Housing, Internal Audit, Recreational Sports, and Risk Management offices.
- Develop, review and continually update policies, procedures, and required documentation for UM Athletics sports camps/clinics.
- Establish and communicate charge-back rates and other financial terms between the University and the individual sports camps/clinics.
- Meet with Sport Administration as necessary to direct, update and evaluate current processes and decisions related to camp/clinic administration.
- Participate in University Camp Oversight Committee meetings and weekly Summer Safety Meetings when scheduled/as appropriate.
- Essential Functions - Event Management
- Responsible for all aspects related to event management of assigned sports, which includes:
- Coordinating and working collaboratively with team representatives, Athletic Department staff, and outside groups year-round to ensure that necessary information is shared and collected in order to successfully host events (including during the non-traditional sports seasons).
- Communicating with visiting teams, officials, the B1G Conference, media/television networks, and any external contracted groups that support game operations.
- Developing, maintaining, and updating game operations manuals.
- Recruiting and hiring all necessary game operations personnel.
- Training, communicating, and evaluating Event Team Members of assigned sports to ensure consistency of service standards across all events.
- Utilizing the workforce management software system to schedule and pay all game operations personnel and Event Team Members, as well as to print event rosters and run Event Team cost reports.
- Evaluating current methods and procedures in order to improve operations, create efficiencies, and develop new and innovative ways to manage events.
- Ensuring accuracy of all Event Management-related information in publications (i.e. Stadium/Arena Guides) as well as on mgoblue.com and update when necessary.
- Developing and monitoring of Event Management budgets.
- Coordinating parking.
- Assist Director of Operations & Event Management with any and all aspects of hosting B1G and NCAA Championships.
- Responsible for all aspects related to event management of assigned sports, which includes:
- Essential Functions - Other Duties/General
- UMAD COURTESY VEHICLE PROGRAM: Coordinate and manage all day-to-day and administrative aspects of the UMAD Courtesy Vehicle Program to include tracking, risk management, organization and procurement of vehicles.
- Respond and act on behalf of all members of the Operations and Event Management team by handling inquiries, some of which can be of a sensitive and confidential nature with tact and diplomacy. Provide timely responses and direct matters to appropriate individuals for action.
- Draft correspondence dealing with issues and subject matter in ways that may require sensitivity, discretion, or judgment in replying to inquiries and/or presenting or requesting information.
- Gather, organize and distribute materials and information for meetings, presentations, and events.
- Assist other Operations and Event Management team members as needed.
- Facilitate innovation and thoughtful creative problem-solving within the Operations and Event Management team.
- Assist in planning and directing work of assigned interns or temporary employees.
- Perform administrative activities, including the preparation of special and periodic reports, fiscal records and service charges, and budget and expense tracking.
- Assure compliance with NCAA and Big Ten Rules, University purchasing protocols, and OSEH safety programs.
- Other duties and projects to be assigned by the Director of Operations & Event Management or Associate Athletic Director, Operations and Events.

Required Qualifications*
- Bachelor's Degree required with a minimum of 3 years working in Event Management or related field.
- Qualified candidates will bring demonstrated experience, skills, and success with: developing and implementing policies and processes, marketing support, recommending new approaches to effect improvements.
- Excellent organizational, analytical, and independent problem solving skills and attention to detail. Ability to exercise discretion and judgment in matters of a sensitive or confidential nature.
- Proven ability to effectively collaborate and persuasively communicate with professionals at all levels (and many varied audiences) is required.
- Must be able to establish and maintain positive working relationships with all team members and customers by utilizing outstanding interpersonal skills.
- Must have excellent written and verbal communication skills, along with the ability to effectively prioritize and manage changing demands.

- A working knowledge of Microsoft Office Applications (specifically Word, Excel, and PowerPoint) and Google Collaboration Tools (Drive, Docs, Sheets, Slides, and Forms).
Desired Qualifications*
- Master's Degree preferred.
- Camp and clinic operations; background in accounting, marketing, contracts, and/or insurance would be helpful.
- Knowledge of NCAA and Big Ten Compliance rules.
- Demonstrated competence with office productivity software including spreadsheets, word processing, presentation, and database applications.
